College/Department Information
The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine, and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.

Job Summary
This position is responsible for highly specialized administrative support to the Vice Chairman of Operational Medicine, Director of the Center of Operational Medicine & Operational Medicine Education Coordinators. Perform executive level and specialized admin function under minimal supervision in support of faculty for the Department of EM. The position will exercise independent decisions and judgments related to the work performed. Assist the Vice Chair & leadership on coordinating details of planning, promoting & coordinating all continuing education courses & training programs for the Center; identifying & negotiating appropriate facilities, design descriptive marketing instruments for courses, manage preparation & distribution of marketing information including the Center's course calendar, manage & prepare travel arrangements, reimbursements, & any other coordinating tasks as instructed by the Center's leadership. Maintain data management requirements for accrediting organizations; department database & records; course registrations; LMS interface & special projects in support of the Center's mission.

Responsibilities
Provide highly specialized administrative support to the Vice Chairman of Operational Medicine and Director of the Center of Operational Medicine and multiple EMS faculty, instructors. Duties include, but not limited to, coordinating routine and strategic meetings; office management, coordinate recruitment efforts and arrange for interviews, calendar management, preparation of voluminous correspondence, coordination and support for press releases and public affairs matters. Editorial support for the preparation and proof-reading of high level correspondence, scientific papers, and highly sensitive, travel arrangements, reimbursements, CME activities and CME account management; and any other administrative tasks as instructed. Assist with executive office administrative functions to ensure strategic level goals are effectively planned and successfully accomplished, assist in special projects in support of the mission, as directed. Coordinate and assist in the management of specific duties required of Leadership that serve on various committees, boards, and organizations, implement specialized QA initiatives relating to Center function and special projects. Assist Leadership with their roles in outside organizations at the local, state, national, and international level. Assist Vice Chairman of Operational Medicine and course directors with coordinating the many aspects of continuing education & training; recommending appropriate meeting space, reserving necessary space and/or negotiating w/ facilities, arranging for food & beverage, managing all course instructors travel arrangements and reimbursements, coordinate commercial exhibits for programs, coordinate artwork for brochures, coordinate all advertisements, inquires & course registrations. Maintain and update documents to ensure CoAEMSP and other accreditation requirements are within compliance under the supervision of the Center's leadership; ensure course registration data is complete and timely; maintain department database and records, enter data and generate reports as directed, manage advanced database/LMS systems. Act as Center's customer service point of contact for all phone calls and emails. Coordinate all pre and post course processing; provide assistance and quality assurance support for operational medicine curricula. Represent the Center and Department as the training coordinator for a selection of different courses. Responsible for room set-up, audiovisual equipment, breaks and social functions. Keep Center's continuing education course training calendar current. Establish deadlines and coordinate implementation of schedules. Perform all other related duties/tasks as assigned.

Required Qualifications
Associate degree from an accredited college or university in a related field and a minimum of four years of progressively responsible experience in administrative support positions, including two years at the Administrative Assistant 1 level. OR High School Diploma, GED, or equivalent from a State or Federal accrediting organization and seven years' progressively responsible experience in administrative support positions.

Knowledge, Skills, & Abilities
Ability to maintain confidentiality. Excellent interpersonal, written, and verbal communication skills. Proficient in Microsoft Office and other computer software/databases. Detail-oriented with strong organizational, prioritization and multi-tasking skills.

Shift/Salary/Benefits
Shift: Days Mon-Fri.
Pay Grade: 12
Salary Minimum: $15.06- $19.58 hourly.
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
