Florida Atlantic University is seeking a Procurement Accounts Payable Specialist. - Boca Raton, FL.

Summary of responsibilities include:

  • Manage procurement functions for A.D. Henderson and FAU High School

  • Ensure timely processing of orders to include clarifying with staff, contacting vendors when needed and contacting internal FAU departments

  • Accurately track all order requests, submissions, and order deliveries

  • Communicate and interact with vendors/suppliers to register them with FAU’s Supplier Office and to address issues and concerns

  • Create and modify purchase orders and maintain accurate accounting of requisitions and purchase orders

  • Track, check-in, and reconcile all deliveries

  • Communicate order statuses to faculty and staff and notify them of order issues or delays

  • Complete daily updates to the various tracking sheets regarding requisition submission, purchase order issuance and invoice payment status

  • Provide essential communication and feedback, via phone or email, to internal and external partners, including vendors, local governments and/or other University partners.

  • Collect, monitor, and generate data from various payment systems, student database, and other related programs, including but not limited to the collection of funds for activity fees, uniforms, school meals, and field trips

  • Oversee school fee data entry and verification; survey submissions; edits and validations corrections; re-submissions; reports, etc.

  • Collect and analyze information to make recommendations, prepare written reports, and provide timely updates and information to the administration on school fee payments

  • Monitors and maintains regular correspondence with families regarding purchases, balances, and other related information

  • Provides technical support for maintaining efficient and effective record-keeping of budget, finance, and payment activities.

  • Other duties as assigned

Minimum Qualifications:

Associate's degree or higher from an accredited institution in an appropriate area of specialization required.

Intermediate to advanced knowledge of Excel and Google Workspace required.

Experience in procurement and/or accounts receivable preferred.

Experience and knowledge of Workday preferred.

Experience in Florida K-12 public school or university setting preferred.

Salary:

$40,000 - $45,000 per year.
