Administrative Specialist at the English Language Institute 

The University of Tennessee, Knoxville (UTK) is seeking a collaborative, detail-oriented administrator for the English Language Institute. Reporting to the Director of ELI, this position contributes to the global vision of the UT Center for Global Engagement. This is an in-office position based in Knoxville, TN.  

Market Range: 03, expected annual salary: $30,000-$34,000 

Duties & Responsibilities (included but not limited to):  

Primary front-facing contact at ELI. Welcomes students and prospective students.  

Helps design and disseminate promotional and recruiting materials.  

Receives and processes admissions and immigration documentation using email, SEVIS, Sunapsis, Banner databases. Maintains RENWEB/FACTs internal database.  

Works with Director and Assistant Director to manage student arrival, orientation, and special activities. 

Serves as the initial contact for inquiries from prospective students and community members. Fields issues as they arise. 

Coordinates meetings, schedules locations, distributes invitations, prints and prepares agendas and other materials, and takes meeting minutes.  

Orders departmental supplies, equipment, and materials as needed.  



Qualifications
Qualifications:  

Minimum 

Earned High school diploma or GED  

1 – 2 years of office coordination and support experience  

Preferred  

Earned Bachelor’s degree from an accredited college or university  

2 – 3 years of office coordination and support experience as well as knowledge of university fiscal and human resource policies and procedures  

Job Skills 

Excellent customer and interpersonal skills.  

Excellent oral and written communication skills.  

Strong skill set and experience using Microsoft Office (Word, Excel, PowerPoint, Outlook, and Teams) effectively.  

Use of basic office equipment, including multi-line telephone, computer, printer, fax, scanner, and copier.  

Must provide attention to detail and have strong organizational and listening skills.  

Must possess the ability to communicate with diverse faculty, staff, and students on a daily basis and be a positive representative of the department.  

Strong ability to multi-task, work independently and meet deadlines.  

Willingness to work within established unit and university guidelines   

Must consistently demonstrate a positive and supportive attitude in a high-pressure environment.  

Demonstrated willingness to be flexible, adaptable, and dependable.  

Strong understanding of confidentiality issues.
