Description - External:

The University of Tennessee's Career Gateway is seeking to fill the position of Administrative Assistant for the Department of Oral & Maxillofacial Surgery.

Key Areas of Responsibility

This position exists to provide administrative support to the department chairman as well as all faculty of the Department of Oral and Maxillofacial surgery.  This department currently has 5 full-time faculty, 5 volunteer faculty, 9 residents and 2 staff positions, not including this position.  The individual occupying this administrative position manages all department activities including the operational and non-operational budgets, the residency budget, all personnel activities, faculty travel and other financial matters, as well as the chairman's daily schedule.  All daily activities of the department are overseen by the individual such that all members of the department look to this individual for guidance.  Important professional advice and guidance is provided to the chairman, faculty and support staff. 

Develops, implements, and maintains all departmental operations as they relate to day-to-day operations as well as training the residents in regard to office operations and management.  Makes decisions that fall in the established practices and procedures of the Graduate School of Medicine.  Refers unusual problems to department chair.  The following list of duties includes but is not limited position duties:  Provides assistance to residency coordinator, particularly related to budget.  Compiles data and prepares reports for Chairman and Residency Coordinator.  Assists in the administrative oversight of the oral/head and neck oncologic surgery fellowship program.  Manages arranging repair, inspection and maintenance of departmental equipment.  Schedules meetings for department chairman, other faculty and resident internally and outside the department.  Directs phone calls related to all issues of importance to department chairman and faculty.  Meets and works with outside vendors in regard to academic training materials/supplies.  Manages the chairman's educational time with the residents regarding educational activities.  To include but not limited to the following: Coordinator of scheduling patients for office surgeries and related tests, based on evaluation by Chairman/Faculty.  Arrange transportation and lodging for non-local patients of the area.  Coordinator of resident schedules as they relate to patients' consultations and surgeries.  Coordination and distribution of patient records/history to all residents prior to Grand Rounds, lectures, consultation, surgery, or follow-up.  Completes transcription of chairman's dictations in regard to patient histories.  Manages day-to-day information to residents in regard to office/practice management to include information in regard to the following:  Billing/coding of insurance and related issues.  Inform residents of required documentation of patient care to include scheduling surgery, request for tests, requests of results.

Manages budget for department including monthly reconciliation of the ledger and other financial department matters.  Manages equipment purchases and supplies for department.  Suprvises inventories and capital equipment.  Processes invoices for purchases and faculty related travel and other expenses.  Coordinates finances associated with resident capital expenses.

Completes monthly and  biweekly timesheets for department employees and approves leave requests.  Supervises, advises and redirects designated personnel.  Prepares and manages all faculty travel paperwork.
