Administrative Specialist IIVice Chancellor for Student LifeVice Chancellor for Student Life within the Division of Student Life invites applications for the position of Administrative Specialist II. The Administrative Specialist II is responsible for assisting the Assistant Vice Chancellor for Leadership and Engagement (AVC_LE) and the Assistant Vice Chancellor for Administration and Finance (AVC_AF) along with all reporting areas.The Position: This position provides day-to-day administrative support to the Assistant Vice Chancellor for Leadership and Engagement and the Assistant Vice Chancellor for Administration and Finance including, but not limited to, maintaining appointment calendars, preparing and organizing meetings and events, and arranging travel and lodging requirements. This position will engage with the campus community by addressing questions and concerns from callers and visitors to the office. This team member will also have a role in the success of the reporting units to the AVC_LE and ACV_AF by providing day-to-day administrative support to the directors.Responsibilities:
- Maintain appointment calendars for AVC_LE and AVC_AFPrepare and organize meeting filesMake meeting and event preparationsArrange travel and lodging requirements for the AVC_LE and AVC_AFAddress questions and concerns from callers and visitorsUpdate and maintain office on-boarding manual and training materialsProvide support for committeesManage office email accountsPrepare correspondence, reports, and other university documents
Qualifications
What We RequireEducation: Associate’s DegreeExperience: Two (2) years administrative support experienceKnowledge, Skills, and Abilities:
- Organization, listening, and communication skillsAbility to prioritize and execute tasksCustomer service skillsAbility to manage details within an office settingKnowledge of FERPA compliance and policiesAbility to adhere to confidentiality of records and informationTechnology and software management skills (i.e. Microsoft Excel, PowerPoint, SharePoint, IRIS, etc.)
- Two (2) years administrative support experience in a higher education settingExperience in crisis managementExperience as an executive assistant
