About the Department:

Development and External Affairs (DEA) supports SMU by securing funding for University priorities; by promoting meaningful involvement in the life and work of the University; by heightening international, national, state and local awareness of SMU; and by supporting the enrollment of a diverse and able student body.

DEA comprises the offices of Office of the Vice President, Annual Giving and Alumni Relations, Development Services, Program Services and Donor Relations, Marketing and Communications, Principal and Major Gifts, and School and Project Development.

SMU continues to leverage the benefits from the largest fund-raising campaign in its history to achieve dramatic increases in academic quality and impact.

About the Position:

The Coordinator will provide administrative support for Public Programs events housed in the Program Services office in Development and External Affairs. Events include the Tate Lecture Series, PwC SMU Athletic Forum, Doak Walker Award and Athletics Hall of Fame.

Essential Functions:

    Event Logistic Support: Responsibilities include coordinating mailings, updating event calendars, producing correspondence, printing name tags and other needs, assisting with vendor management, submitting invoices, communicating with internal clients about ticket needs, and providing staff support at events, etc.

    Coordinate and Track Event Attendance and Ticketing of Events: Responsibilities include accepting responses and orders via mail, email, online and telephone, supporting the Tate ticketing process, assisting with database creation and management, receiving revenue and processing gift transmittals and ticket sales, etc.

    Provide Administrative Support: Responsibilities include screening and referring telephone calls, managing correspondence, assisting with board and sponsor relations, assisting with tracking in SMU’s CRM database, maintaining office inventory, maintaining event files and data entry.

    Public Programs Events: Work collaboratively with other members of the Public Programs team to ensure high quality events and customer service experience.

    Other Events: Assisting in execution and staffing for all Program Services events. May include joining team who greets guests and managing vendors during football games at President's football suite.

    General Office Support for Program Services Team: Receiving and sorting mail, answering telephone calls and assisting with ticket sales over the telephone, assisting in building-wide administrative support and other duties as assigned.

    Position requires regular evening and weekend work for events



Qualifications
Education and Experience:

High school diploma or equivalent is required. Bachelor’s degree is preferred.

A minimum of one year experience providing clerical, administrative or customer service support in an office environment is required.

Some events experience preferred. Experience in an non-profit environment preferred, working with multiple constituencies including students, faculty, ticket holders, donors and Board members is desirable. Experience in ticket sales is a plus.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills. A strong customer service orientation is essential in order to work with multiple constituents including students, faculty, donors, ticket purchasers and Board members successfully.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills with the ability to simultaneously manage multiple tasks. A strong attention on focus to detail is essential.

Candidate must demonstrate a strong proficiency in Microsoft Word, spelling and grammar. Knowledge and/or work experience that includes Microsoft Excel is preferred. Database management experience is required, preferably Filemaker Pro. Experience in Paciolan (Ticketing database) is desirable.

General knowledge of accounts payable/receivable is a plus.
