Office of Associate Vice Provost for Student Success

Position Description: The Academic Advising Initiatives Coordinator provides student-centered academic advising services to campus wide academic advising initiatives and coordinate campus-wide advising projects. This position exist to coordinate campus-wide advising projects, assess, and evaluate the academic advising initiatives office projects, coordinate training of academic advising specialists, and coordinate support for new student advising during summer orientation to academic advising units such as coordinating registration inquiries, appointment rescheduling support, and advising administrative services as determined by identified needs during each semester. While coordinating projects, this position also provides academic guidance and assist students in completing educational plans through change of major request, general education petitions, and providing advisement of academic procedures, policy, and curriculum. The Academic Advising Initiatives Coordinator reports to and assist the Program Director for Academic Advising Initiatives within the office of the Associate Vice Provost for Student Success (AVPSS). This position will also work closely with college advising directors across campus. Academic Advising Initiatives provides centralized coordination of campus-wide advising initiatives and support to college advising centers as identified. The academic advising support coordinator role will have a modality of 60/40; primarily on a virtual modality basis (60%) with some in-person requirements for project coordination and support services (40%).

Position Responsibilities

45% - Campus-Wide Academic Advising Services

• Coordinate process-management and other academic software, such as EAB Navigate, Banner, Slate, and other software, to support campus wide academic advising initiatives and efforts.

• With the Program Director, coordinate the operations of general academic advising inquiry and emails as it relates to campus-wide academic advising policies and operations, course registration, and system troubleshooting.

• Coordinate campus-wide advising services of academic petitions, change of major requests, and additional logistical processing as identified.

• Creates and maintains confidential, detailed student records

• Maintain advising notes and forms in EAB Navigate or the designated student relationship management system.

• Correspond with students and academic advisors on a regular basis.

• Support and teach students the DARS and uTrack systems.

• Evaluate students' needs in order to make appropriate referrals to campus and college resources.

• Develop and use extensive knowledge of UTK policies (academic and others) to help students navigate academic policies and improve student persistence.

• Evaluate students’ progress in the support of developing students’ desired goals and develop strategic academic plans to accomplish goals.

• Evaluate students’ needs and make appropriate referrals to campus and college resources.

• Communicate routinely with academic advising units, via in-person as well as electronic forms of communication.

• Provide service excellence through courteous, informed, accessible, and professional engagement.

35% - Special Projects & Other Duties as Assigned

• Coordinate campus wide academic advising initiatives special projects as needed.

• Coordinate assessment of Academic Advising Initiatives and division programs and projects as the office grows to meet the needs of the campus community.

• Assist with advising assessment activities as requested.

• Participate in professional development opportunities

20% - New Student Academic Advising Services

• Coordinate service logistics of students in facilitating course registration in MyUTK and registration inquiries.

• Coordinate services for appointment rescheduling and advising support as identified.

• Connect students to resources and support provided on campus.

Required Qualifications

• Bachelor’s degree from an accredited 4-year institution

• Demonstrated knowledge of academic advising and student learning / development theories applied to practice.

• Experience working with students in a college or university setting.

• Experience working with a diverse student population.

• Excellent oral communication and writing skills.

Preferred Qualifications

• Master’s degree in higher education, college student development, or related field.

• Experience with coordinating projects.

• Experience working in a team-oriented environment.

• Experience with academic advising in higher education setting.

• Experience with student or customer service excellence.

• Administrative and organizational skills with the ability to handle simultaneous projects.

• Ability to utilize technology that supports both students and professional practice (MS Word, Excel, Student Information Systems, Degree Audits, Internet/On-line Resources and Support

Salary: $45,000 w/ bachelor’s degree; $48,000 w/ master’s degree. This includes a standard university benefits package.
