Job Title: Enrollment Technology Manager

Reporting Relationship: Associate VP for Enrollment Management

Summary of Position: The primary role of this position is to coordinate and manage the database used for recruitment within the under graduate Admissions Office; this includes the CRM, SQL, and Student Information System. Within this role, the highest priority is the development and maintenance of the CRM supporting recruitment. The functions include CRM development, report writing, import creation, training, troubleshooting and the placement of data as well as maintenance of the system. The secondary function is to manage the flow of data between the SIS and the CRM and act as a liaison between admissions and UIT on requests concerning server and software maintenance as related to the CRM.


Duties and Responsibilities

  • CRM Development
    • Plan for and lead the implementation of new CRM components that allow the Admissions Office to stay up to date with its recruitment plan
  • Report Writing
    • Responsible for the creation and upkeep of reports used by other admissions staff that support the daily functions of the Admissions Office and provide for weekly, monthly and annual benchmarking
    • Extracting data as needed for reports and research by administration within the Enrollment Management Division as well as other areas of the University
  • Campaign Management
    • Creating and managing CRM communication campaigns, mailers, interactions, workflows, and related CRM properties in order to achieve enrollment goals
  • Import Creation and Implementation
    • Create import processes for data from third party sources as well as information coming and going from the data warehouse for use in Colleague
  • Training & Troubleshooting
    • Responsible for the training of all Admissions staff on the uses and updates of the CRM as well as the production of training materials and regular updates to policies and procedures manuals
    • Act as a resource for all admissions staff when dealing with CRM issues and correcting problems
  • Maintenance
    • Perform and assign data clean-up and other tasks that keep the CRM running effectively and providing the data necessary for recruitment and reporting
    • Must be familiar with all admissions processes to better understand the needs of the SIS concerning reports, mailings, letters and historical data
  • Data Management
    • Work alongside the Associate Director of Operations to lead the departmental administration in decisions on best practices for the inclusion of prospective student data and adherence to best reporting practices and logical coding and storage for the most efficient use by admissions and other departments
  • Other technology initiatives and oversight as needed
  • Demonstrated ability to work effectively with individuals from diverse communities and cultures

Education

  • Bachelor's Degree required

Experience

  • Experience in Programming and Report Writing (SQL)
  • Training and/or experience in Electronic Processing

Required Skills

  • Computer knowledge (prefer CRM, MS Visio, MS Word, and MS Excel)
  • Advanced knowledge and experience with Microsoft Access databases and VBScript
  • Accuracy and attention to detail
  • Logical thinking and problem solving skills
  • Ability to multi-task
  • Ability to understand work flows and process documentation of how roles are performed

Preferred Skills

  • Previous experience flowcharting and organizing projects or campaigns
  • Previous experience with CRM software or software that uses conditional merge and filtering functions
    Database or SIS experience
  • Experience in programming and report writing
  • Admissions/Recruitment knowledge is preferred
