Position Summary

The business manager is responsible for the overall financial portfolio of the office. This position oversees all accounts associated with the Office for Education Abroad (EA), including International Partnerships and Special Programs (IPSP). The business manager will provide strategic visioning of all aspects related to financial and operational management and is responsible for the office’s operational budget. In collaboration with EA leadership, the business manager will ensure a fiscally responsible plan for the office’s current and future needs. The business manager supervises the business office staff and students and serves as a resource for EA staff, program leaders, and college contacts on financial and policy issues.

Core Duties & Responsibilities

Oversee Program Management & Billing

  • Work closely with EA’s Financial Coordinator and Programs Team to support program budget setting and financial implementation of MSU faculty-led programs
  • Oversee the maintenance of accounting records, payment processing and wire transfers, travel advances, and the reconciliation of program accounts
  • Support the EA directors team in providing regular training and orientations for faculty members on budget management and alignment with MSU financial policies
  • When needed, serve in an EA liaison capacity to one or more MSU academic colleges (e.g., College of Natural Sciences), campus administrative units (e.g., Resource Center for Persons with Disabilities, Office of Financial Aid), International Studies and Programs units (e.g., Center for Gender in Global Context, African Studies Center), and affiliated provider organizations (e.g., Institute for the International Education of Students)
  • Field questions, troubleshoot, and address issues related to student billing and EA related charges
  • Oversee the utilization of individual Business Office Travel Cards to prepay for program expenses that require credit card payment
  • Remain informed regarding relevant university policy and communications (e.g., from the University Travel Office, Academic HR, etc.), apply this information to the Education Abroad context, and provide timely updates to stakeholders such as the Advisory Council on Education Abroad
  • Education Abroad Accounting

  • Serve as Fiscal Officer for all EA accounts
  • Develop, implement and oversee accounting controls for the office
  • Review and maintain EA account ledgers and oversee corrections in university-wide systems (e.g., EBS)
  • Research, prepare, and verify the accuracy of financial statements and reports in order to provide information to EA leadership and staff, International Studies and Programs (ISP) Deans Office, and university colleges and departments
  • Ensure accurate and timely billing of application fees monthly, travel medical insurance charges, program fees, etc.
  • Process all program director and program assistant payroll
  • Work closely with EA Executive Director and Senior Assistant Director to plan, implement, administer, monitor and manage the unit’s operational budget, including the production of monthly status reports and recommendations for spending
  • Develop office financial protocols and procedures in accordance with MSU policies
  • Work with EA leadership to determine financial strategies that may include projection analyses and strategic forecasting
  • Provide reports and analyses to the Executive Director and Senior Assistant Director as needed
  • Review all EA and IPSP staff travel requests to ensure compliance with policy and budget considerations
  • International Partnerships and Special Programs

  • Serve as Fiscal Officer for all IPSP accounts
  • Work closely with IPSP Assistant Director to oversee financial transactions
  • Create budget projection and reconciliation and provide monthly updates on spending
  • Oversee maintenance of CashNet store front
  • Issue scholarships as requested by IPSP Assistant Director
  • Other duties as needed in support of unit
  • Additional Functions

    Financial Aid and Scholarship Management

  • Oversee endowment-based scholarships for Education Abroad programs and liaise with donors when needed
  • Work with program coordinator tasked with scholarship management to maintain an education abroad scholarships searchable database, website and promotional materials
  • Support program coordinator to create and facilitate regular financial aid and scholarship workshops for MSU students
  • Implement and maintain online scholarship application system and make student awards
  • Assist with stewarding awards
  • Assist the unit with implementing an effective promotion and outreach strategy for education abroad, with particular emphasis on targeting traditionally underrepresented populations. This may include, but is not limited to assisting with events such as the education abroad fair, regional/thematic promotional events, and program-specific information sessions
  • Respond to student queries
  • Create and maintain First Generation EA Scholarship in Academic Works system
  • Work closely with Financial Aid to post scholarships as needed and check on status
  • Professional Development

  • Contribute to the profession of education abroad, which may include attending and/or assisting with regional, national and international conferences each year as necessary/appropriate/fiscally feasible
  • Contribute to the field of education abroad, which may include producing and/or assisting with scholarly publications, conducting outcomes assessment research, etc.
  • Unit Specific Education/Experience/Skills

    Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Accounting; three to five years of related and progressively more responsible or expansive work experience in supervision, accounting procedures and developing accounting controls, policies and procedures, strong technical skills including working knowledge of spreadsheets and proficiency with spreadsheet software; or an equivalent combination of education and experience.

    Desired Qualifications

    Proficiency with Microsoft Excel software; working knowledge of MSU accounting/business policies and procedures; experience with EBS functionality and reporting; strong written and verbal communication skills; multi-tasking abilities and strong organizational skills; CPA certification.
