Schedule Information: Monday through Friday hours will vary. May need to work until 7:00pm 2 days a week

Hours per Week: 20-25 hours per week

Benefits: Prorated Sick & Vacation; Holiday Pay; and 2 Harper Tuition Waivers per semester

Work Conditions: Work is primarily indoor and sedentary in nature. 

Duties of Position:  Provides general support for the Hawks Care Resource Center and Counseling Center at Harper College. Provides accurate and timely information general to Harper College and specifically in regard to Hawks Care Resource Center and Counseling Services to students and internal and external stakeholders. Provides high quality customer service to students, faculty and staff.

Assess daily needs of the Center and pivot service based on those needs as well as communicating those needs to service providers within the center, i.e. distributing calls, monitoring drop-in/walk-in traffic and peak time volume.

Provides front line support to address incoming questions about services in the department and makes prompt referrals to on-campus services as needed.

Tracks and monitors student contacts for the department and assists with reports related to student utilization of services, outreach and communication.

Screens in-bound calls and contacts and provides information using several different software and technology platforms in person, over the phone and by email. 

Supports students daily in the scheduling of appointments with counselors using scheduling software.

Responsible for maintenance of student records in student information system.

Accesses, researches and prints student information from student systems for counselors.

Assists with outreach activities related to promoting and representing Hawks Care and Counseling Services, as needed.

Provides students with resource materials as needed. Responsible for monitoring form availability and presentation within the Center to make sure the most relevant and up-to-date information is available for students and staff alike.

Responsible for data entry and filing as needed, including related documents in the student system.

Supports Administrative Secretary with projects and reporting including operational statistics and end of year reports. 

Distributes, compiles and tallies comments from center and counselor evaluations.

Provides reception for the Center. Greets visitors, answers telephone, takes and distributes messages and provides information as appropriate.

Follows privacy and confidentiality guidelines with student record information.

Performs related duties as assigned.

Educational Requirements: High school graduate or equivalent. 

Experience Requirements: At least one year general office experience required.  Knowledge of Word, Excel and Outlook.  Experience using different technology/software platforms and familiarity with student systems preferred.
