Overview

The Donor Relations team at Macalester College is seeking to hire a Donor Relations Coordinator to provide support andadvance the College’s fundraising by participating in an effective, equitable, and meaningful donor relations program(stewardship, recognition, engagement, and acknowledgment). Coordinates day-to-day donor relations tasks, includingacknowledgements, special stewardship projects, impact reports and donor events. In addition, provides technical andeditorial support for donor communication pieces. 

 

An ideal candidate is familiar with administrative functions, uses independent judgment, practices attention to detail, andhas the ability to juggle multiple projects simultaneously. The right candidate is comfortable in a fast-paced environmentand has the ability to build processes, has flexibility with varying projects and work styles, and thinks proactively toconnect the needs of individual team members. The Donor Relations Coordinator serves as a point of contact for donorand other inquiries, and oversees a student worker.

Responsibilities

Donor acknowledgment and communications:● Works closely with Advancement Information Services and Macalester Fund staff to assure timelyacknowledgment of gifts.● Collaborates with partners across campus to coordinate outreach to key stakeholders and alumni.● Understands data and systems to ensure accuracy and identify opportunities for improvements.● Prepares and distributes donor communications, and stewardship reports via digital and print delivery methods.

 

Fund management:● Assists in organizing and managing financial and impact information for all endowed and restricted funds.● Coordinates with the appropriate development staff and campus offices on new fund agreements.

 

Record management:● Manages donor relations communications lists, communications schedules, event logistics, and departmentdeadlines.● Works closely with Advancement Information Services and the Donor Research team to provide accurate lists fordevelopment activities..

 

Event and administrative support:● Supports cultivation and stewardship events including reunion dinners, society recognition dinners, luncheons,and in-home parties as needed.● Works with Advancement Information Services to ensure that event management details are accurately recordedin Slate (CRM).● Manages RSVP process.● Develops event timelines and checklists.● Performs various administrative related tasks as required, including team and volunteer committee meetingscheduling, agenda and room preparation.

 

Institutional Equity:● Infuses Diversity Equity and Inclusion best practices including community-centric fundraising approaches in boththe work and the culture of the team.● Engages in and promotes Macalester’s culture of diversity and inclusion, encompassing individuals of anyheritage, identity, status, or orientation.

Qualifications

● 1-3 years of working knowledge in office procedures, administrative functions, ability to use databases, allforms of electronic communications, experience with donors helpful. Higher Education experience is helpful.● High School Diploma required. Associate’s or Bachelor’s Degree preferred.● Administrative support, very strong attention to detail and organization skills; ability to juggle multipleprojects/events simultaneously.● Ability to review and analyze data to produce reports.● Must be able to handle multiple projects and priorities at the same time in a busy, demanding environment.Connect dots between areas of work.● Experience with Microsoft Office Suite, Google Business Suite, fundraising software, social media platformsand broadcast emails.● Able to assist the Director of Development and others on the team, finishing documents, organizing meetings,event support, etc.● It is expected that all Advancement employees have an appreciation for the value of a liberal arts education,are able to work respectfully with sensitive and confidential information and work to build positive, professionalrelationships that underscore confidence in Advancement among colleagues, across campus and with ourconstituents. Compensation & Benefits:
