The Department of Pediatrics has openings for two full-time University Staff (unclassified) GME Program Manager positions.

Nature of Work

The Department of Pediatrics Graduate Medical Education (GME) Program Managers provide professional support for the Department of Pediatrics graduate medical education programs (residencies and fellowships). These two positions will support the success of our programs administrative staff, and thereby the success of our programs and learners. The program managers will analyze current systems, processes, and procedures across 20+ programs to identify best practices and areas for improvement in our Pediatric GME program management. They will play significant roles in the training and development of all Program Coordinators within the Department, including initial onboarding and ongoing training and professional development. In partnership with leadership from education programs, Medical Education, the Department, and Children's Hospital, the Program Managers will focus on the well-being, growth and development, and success of the Program Coordinators within the Department. Additionally, they will be responsible for assuming essential Program Coordinator duties for programs that are temporarily without a coordinator (e.g., illness, leave, job changes, etc.).

This position will be a hybrid working arrangement. Work will be done both on-site and from home/off-site settings.

Indirect supervision of approximately ten Program Coordinators who are formally hired and managed within their specific section/division, to include input on annual performance reviews and supporting implementation of direct line supervisor performance goals.

Essential Functions

Leadership of Program Coordinators (PCs):
  • Meet with individual PCs at least quarterly to support their professional growth and wellness.
  • Be available to answer questions and provide guidance/support to coordinators as needed.
  • Create and maintain a formalized orientation program for new Program Coordinators within the Department.
  • Provide feedback on Program Coordinator performance to Program Directors to be used in evaluation processes.
  • Work with program and section leadership to support Program Coordinators with knowledge or performance gaps.
  • Conduct, analyze data received from and create action plans associated with exit interviews with Program Coordinators leaving their role.
  • Attend and participate in Committee on Fellowship Education (COFE) meetings. Represent Program Coordinator issues to that group as they evolve.
  • Attend the monthly CU GME Program Coordinator meetings.
  • In collaboration with Medical Education leadership, develop, organize, and deliver trainings, education, and professional development for Program Coordinators.
  • Grant management, pre- and post-award (NIH T32s in particular); may be learned on the job.
  • Demonstrate a commitment to diversity, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias.

Coverage for Program Coordinators:
  • Provide direct, temporary support to cover the essential functions of fellowship programs when an individual program's coordinator is out on leave, or a position is vacant. Essential functions include the on-boarding of new trainees, assistance with trainee recruitment, time-sensitive accreditation processes, time-sensitive clinical schedule issues that require a program coordinator's knowledge/skills (including for internal and external rotators such as advance practice providers, physician assistants, medical students as necessary), other time-sensitive duties that require the expertise of a program coordinator.
  • Assist outgoing PCs to establish an orderly transition to incoming PC.
  • Support programs with new and existing T32s and other grants to meet deadlines and regulations.

Leadership within the Office of Medical Education:
  • Collaborate with Manager of Medical Education, Children's Hospital (CHCO) Director of Medical Education, Department of Pediatrics (DOP) Vice Chair for Education, and other leaders to identify and address concerns among PCs. Advocate on behalf of PCs to DOP and to CHCO leadership.
  • Collaborate in the development and implementation of best-practice recruitment processes to recruit and retain Program Coordinators.
  • Participate, often as the Chair, in the search committees for open Program Coordinator roles.

Minimum Qualifications
  • A bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science or a directly related field from an accredited institution.
    • A combination of education and related professional experience may be substituted for the bachelor's degree on a year for year basis.
  • Minimum of four years of successfully coordinating medical education or graduate medical education program(s) with multiple learners per program year and more than one program year (e.g., a 3-year program with four learners per year).
  • Thorough knowledge of Accreditation Council of Graduate Medical Education (ACGME) requirements, policies, and processes.

Preferred Qualifications
    Five or more years of successfully coordinating multi-year graduate medical education program(s) with multiple learners per program year and that include significant finance, recruitment, and event planning responsibilities. Experience developing and delivering consultative training, education, or professional development Grant management experience, pre- and post-award (NIH T32s in particular). Leadership role(s) that contribute to the development or implementation of best practices in GME. TAGME certification.

    Ability to communicate effectively, both in writing and orally. Outstanding customer service skills. Demonstrated ability to successfully work on a diverse team and serve a diverse clientele. Demonstrated ability to successfully prioritize and execute responsibilities in a deadline-oriented, ever-changing, complex environment. Demonstrated ability to successfully lead people, programs, or projects in a diverse, deadline-oriented, ever-changing, and complex environment.

Salary and Benefits

The hiring range for this position has been established at $58,442 to $74,338.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.

The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
