School of Medicine, Office of the Dean, Faculty Affairs has an opening for a full-time University Staff (unclassified) Academic Services Professional Open Rank position.

Jobs in this career family provide direct professional support for faculty affairs to advance the teaching, research, patient care and service missions of the School of Medicine. Functions include providing service and support to faculty members, departments, and programs in order to promote faculty and organizational success.

Job Summary

This position will provide professional support to the Senior Associate Dean for Faculty, the Assistant Dean for the Office of Community-Based Medical Education (OCBME), the Director of the Office of Faculty Affairs (OFA), and the Director of the Office of Professional Excellence (OPE). This position will provide support managing schedules; travel arrangements, including flights (Concur), hotels, conference registration, and expense reimbursement. This position will manage multiple email inboxes, which will involve triaging questions related to faculty appointments and professional conduct, as well as sending emails to several different listservs, as needed. This position will also update and manage a case management database. This position will facilitate distribution of faculty appointment documents with minimal supervision, and facilitate additional processes according to CU and SOM policies and procedures. This position will interface with liaisons across the School of Medicine in the stewardship of clinical faculty applications and appointments.

Supervision Received

This position reports directly to the Director of the Office of Faculty Affairs, with dotted-line reports to OCBME and OPE.

Examples of Work Performed
  • Assist in facilitating volunteer clinical faculty application process.
  • Assisting with communications
  • Facilitate routing documents for signature, record keeping, and managing spreadsheets for tracking of faculty appointments.
  • Manage case management database and email boxes for OPE.
  • Manage faculty affairs mailbox and triage questions.
  • Assist with procurement processes.
  • Manage calendars and prioritize daily schedules for several team members.
  • Manage travel coordination, including flights (Concur), hotels, conference registration, and expense reimbursement.
  • Other duties as assigned.

Minimum Qualifications

Entry Level:
    A bachelor's degree in Business, Public Administration, Human Resources, Healthcare Administration, Information Technology or a related field from an accredited college or university. A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Intermediate Level:
    A bachelor's degree in Business, Public Administration, Human Resources, Healthcare Administration, Information Technology or a related field from an accredited college or university. A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.
One (1) year of experience managing projects which included developing, managing, and implementing work processes.
Senior Level:
    A bachelor's degree in Business, Public Administration, Human Resources, Healthcare Administration, Information Technology or a related field from an accredited college or university. A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.
Two (2) years of experience managing complex projects which included developing, managing, and implementing work processes.
Required: Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications
  • Prior experience working in an academic and/or medical environment.
  • Data management experience including tracking, compiling, and generating reports.
  • Experience managing travel.
  • Experience managing calendars.

    Outstanding customer service skills. Demonstrated ability to manage highly confidential information.

  • Proficiency in OnBase
  • Proficiency in Microsoft Office (including Outlook, Word, Excel, PowerPoint)

Salary and Benefits

The salary range (or hiring range) for this position has been established at:
  • Entry Professional: $41,396-$52,656
  • Intermediate Professional: $45,049-$57,302
  • Senior Professional: $48,701-$61,948

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
