Job Description

PRIMARY FUNCTION(S):

Coordinates and supports central functions of the School for Social Work Registrar’s Office. Serves as a primary point of contact for student inquiries and support and is responsible for the day to day management of the student records, registration, and degrees. Works collaboratively with the Associate Registrar to analyze, implement, and update procedures to ensure successful processing of critical office functions. Contributes actively to bringing all areas of responsibility into greater alignment with SSW’s Five Core Principles.

DUTIES AND RESPONSIBILITIES:

Records: primary management of student records, in accordance with FERPA, including but not limited to, state licensure forms, transcript requests, verifications of enrollment, receipt of grades, address data entry, and ongoing academic record maintenance. Coordinates the records management for all active and former student files.

Registration: Works with the Associate Registrar to create course schedule, update curriculum, prepare and manage student registration. Assists students with online registration, registration changes, and status updates. Coordinates the end of term grade processes.

Degree Conferral and Commencement: Tracks, audits, and communicates degree requirements and progress toward degree for students. Processes degree conferral (including requirement fulfillment, degree processing, and diplomas) and works collaboratively with Associate Registrar and SSW team to produce a successful commencement ceremony.

Data & Office Management and General Support: Oversees customer service needs, including informational postings and materials, general computer systems improvements and new initiatives. Supports the preparation and maintenance of reports related to enrollment, degree progress, and graduation. Represents the Associate Registrar in their absence or at data support meetings across campus. Manages office email accounts and other operational needs. Oversees student worker and coordinates student worker assignments. Collaborates and assists with cross-trained office functions. Back up other school staffing as needed.

MINIMUM QUALIFICATIONS:

Education/Experience: Associate’s degree plus 1 to 3 years of relevant experience or an equivalent combination of education and experience. Experience in higher education administration required; Bachelor’s degree and experience in a registrar’s office preferred.

Skills: Excellent interpersonal skills; demonstrated ability to work collaboratively and effectively with colleagues and other campus constituencies; significant history with consumer orientation with students, members of the public, and college colleagues. Strong communication and organizational skills; track record of flexibility and adaptability in problem solving; ability to think creativity and use sound judgment; demonstrated strong technical expertise and experience in MS Office and data management systems (Workday preferred). Strong professional and personal alignment with SSW’s five Core Principles
