About the Department:

The Faculty Advancement unit provides over 300 faculty with the tools needed to succeed and excel at all levels and intersections of their careers. It utilizes traditional resources, as well as innovative techniques to encourage outstanding research, teaching and professional development by providing transformational faculty development programs, directly impacting the research productivity, teaching effectiveness and the extension mission of COE faculty and department heads. The Office’s mission is to recruit, promote and retain excellent faculty across the College; actively engage faculty, administrators and staff across departments; and celebrate faculty success, achievement and promotion.

Essential Job Duties:

The primary purpose of the Engineering Faculty Advancement University Program Associate is to assist the EFA Associate Dean and EFA staff (i.e., Associate Director, Postdoctoral fellows, and collaborators with EFA) in the execution of the EFA activities and to represent EFA to both internal constituents across campus and external stakeholders. This position is expected to provide excellent customer service to a variety of individuals both internal and external to EFA.

  • Supports the Associate Dean with meetings, special projects, REUs, calendar scheduling, and managing records;
  • Drafts letters or other short texts for EFA activities in a manner consistent with the tone and messaging of overall routine correspondence; independently prepares a wide range of documents; edits and reviews documents before releasing them from EFA; ensures compliance with either NC State University or EFA branding and standards, as relevant to the correspondence;
  • Manages travel arrangements for EFA personnel and COE faculty, acting as a liaison to coordinate and confirm itineraries and communicating all necessary information to relevant parties; prepares travel reimbursements when needed for EFA personnel;
  • Assists in the planning and execution of EFA events including but not limited to the New Faculty Orientation Workshop, NSF Career Proposal Just in time review, and Postdoctoral Career Development Workshops;
  • Under the guidance of Associate Dean and Associate Director, supports the organization, maintenance, and dissemination, upon request, of EFA resources (e.g., presentations, reports, meeting notes);
  • Provides data management and structure to maintain work products and assessments of EFA workshops and offerings; Collection and management of data related to program history, participation, and outcomes;
  • Drafting and processing of honorariums for invited speakers, visiting scholars, etc.;
  • Manage and develop strategies for the marketing and communications operation of the unit, to increase program participation and increase brand awareness for college and campus constituencies;
  • Assist in the review and development of unit initiatives and practices to increase access for diverse populations and ensure an inclusive work environment;
  • Oversight of student fee-funded budgets;

Additional Responsibilities:
  • Oversight of creation of website content for (written and visual content); coordinated with the website developer;
  • Implementation of collaborative programming marketing plans;
  • Assist with reviewing the RPT process documents and uploading them to NC State’s promotion and tenure tracking system (RPTOnline);
  • Coordinating awards committee schedules and deliverables for Faculty awards;
  • Creates and implements processes and procedures for submission of EFA participant information in a central format such as online forms for, e.g., workshop surveys, workshop reservations, Mentoring Incubator REU applications, and information collection for the EFA annual report to the Provost and Dean’s office;
  • Creates and/or compiles information for EFA website updates; suggests changes to the website to enhance functionality and appearance; manages some website content under the guidance of the Associate Dean and Associate Director;
  • Responsible for understanding and accurately interpreting federal, state, and university policies and procedures related to financials including, but not limited to accounts receivables, accounts payables (including travel and personal reimbursements) purchasing, contracts and grants, and payroll.

Minimum Experience/Education:

Bachelor’s degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

  • Excellent typing and organizational skills;
  • Must be able to work independently or on a team;
  • Computer literacy;
  • Must be proficient in Microsoft Word, Excel, Gmail, and Google Drive suite;
  • Knowledge of computers, databases, and word processing programs is required;
  • Able to operate general office equipment, such as copy machine, printer, scanner.

  • Education: Bachelor’s Degree
  • Ability to assist the Associate Dean with strategic planning
  • Demonstrated flexibility and ability to adapt to dynamic environments
  • Demonstrated passion for and experience in the science related to mentoring
  • Demonstrated experience working with engineering faculty
  • An understanding of the land grant, research Tier One university environment
  • Familiarity with NC State University and college of engineering faculty, climate, and culture
