Job Duties :

The Assistant Director Athletic Admin will report to the Executive Associate Athletics Director/Internal Operations and will oversee all aspects of Athletic Event Management for ECU Athletics. This position will employ professional knowledge and experience to ensure that all elements of GameDay consistently exceed all expectations. This position will be responsible for developing and strengthening collaborative relationships and will be the authority of approval for the Game Day Operations of each of the units throughout the Athletic Department, and with campus-wide operating units inclusive of, but not limited to: Athletic Department Units (Marketing, Facility Operations, Ticketing, Information Technology, Pirate Club, Auxiliary Staff Services Contract, University Transportation & Parking. Position will provide thorough and outstanding direction and analysis for all aspects of operations.

This position is responsible for coordinating game day operations for all East Carolina University Athletics events, including third party contract management needed to support events. Personnel management of select game day operations and game day management staff, including third party contracts needed in support of game day operations. Is responsible for coordinating select NCAA and conference championship events on behalf of East Carolina University, as assigned by the Executive Associate Athletics Director, including contract management, budget reconciliation and advance planning. Serves as liaison with various organizations to promote special events and championship level events at East Carolina University. Responsible for personnel oversight including performance evaluations, personnel action recommendations and organizational leadership as needed within work unit. Perform miscellaneous duties as assigned by the Executive Associate Athletics Director.

This position is responsible for providing outstanding leadership to the Game Day Management efforts for all 18 Varsity Sport Programs at East Carolina University and roughly 150 home athletic competitions annually. The position includes all facets of Division I Athletic event management, including preparation, budget management, facilitation, supervision and evaluation for home regular and post-season varsity competition and key special events.

Responsibilities include administrative support, event preparation and event management; technology utilization, planning and management of various projects; procurement and contract management; recruiting, hiring & training; cleaning, health, and safety; communication and management of a part time, volunteer, and student work force. Responsible for coordinating volunteer workers and organization to enhance the game environment under the current NCAA Division I guidelines and initiatives.

Reporting to the Executive Associate Athletics Director/Internal Operations, the individual serving in this position is responsible for, but not limited to, the following duties:
- Employing a strategic approach to collaboratively set up of a Facility, create a thorough and efficient event plan, briefing and deployment of staff, supervision of staff, liaison with other event support units, crowd control, troubleshooting, upkeep of field/court, team, and game official liaison, supervise staff oversight, operation of scoreboard and sound equipment, etc.- Strong interpersonal skills, including conflict resolution- Strong working knowledge of building systems as well as associated trades (HVAC, Electrical, Fire Safety, Plumbing, Communications, Technology) in order to effectively employ, troubleshoot and utilize, particularly in emergency situations.- Provide consistent, creative, reasoned and evidence-based input on the vision of the unit’s philosophy and process for providing the best student-athlete, staff, and fan experience- Independently complete and follow-through on assignments with minimal direction and make decisions on the welfare of staff, fans, and student-athlete, unilaterally when necessary but within established, NCAA, AAC, State, Municipal, University, and Departmental policies, protocols, and framework- Organizing material, information, and people in a systematic way to optimize efficiency and minimize duplication of effort with a focus on maintaining detail-oriented spreadsheets and other related reports- Prioritize staff assignments to complete work in a timely manner, particularly when there are changes in assignments, deadlines, completing requirements and workload- Communicate effectively – orally (speaking & listening) reading and writing- Prepare correspondence, forms, and reports with urgency, speed, and accuracy- Interact with persons from a variety of social, cultural, and economic backgrounds- Supervise staff, organize workflow, delegate, train and review work for optimal process and results- Deal sensitively with confidential issues within Federal, NCAA, State, AAC, University, Departmental and Unit policies, guidelines, and best practices- Analyze and evaluate financial and other key operational information to identify and resolve problems for optimal efficiency and effectiveness with budget signature authority- Work collaboratively and cooperatively as a management team member in support of organizational goals and objectives- Interact with and provide smooth interface among constituencies with separate and conflicting priorities- Perform efficiently and courteously while coping with frequent interruptions and distractions in a variable and uncertain environment- Work with technical experts in construction trades i.e. plumbing, electrical, masonry, carpentry, HAC and building security as a subject matter expert in design, maintenance and execution of Game Day Operational needs- Prepare hospitality spaces for post-season events and other special events- Oversee Maintenance, inventory, and storage supplies and equipment inventory- Serve as department contact to assigned vendors and outside groups- Oversee and coordinate the maintenance and upkeep of department owned vehicles and golf carts- Work effectively with assisting Event Management staff with special projects which may include research, meetings, written reports, and long-term planning- Provide and support organizational systems (Staff Recruitment/Training Processes, Game Day planning, execution, and evaluation processes, NCAA/AAC Bid Processes, etc.) for optimal efficiency and effectiveness and key processes which allow NCAA teams to participate in post season competition for the winning of AAC and NCAA Championships- Lead customer service orientation and ability to communicate with various constituents; general public, students, coaches; administrators and display appropriate pro-activity- Computer skills in Microsoft Office, Social Media, Graphic Design, Database Management, Google Docs- Meet the requirements of the University’s automobile insurance policy- Operate within a (national Incident Management System (NIMS) Incident Command Structure (ICS)- Demonstrated ability to effectively assess, collaboratively design, implement and assess staff performance plan and professional development fully complying with and utilizing all staff development resources by East Carolina University, as well as the supplementary staff development resources available.- Effectively assess, collaboratively design, implement and assess staff performance plan and professional development fully complying with and utilizing gall staff development resources provided by East Carolina University, as well as the supplementary staff development resources available for all Athletic Event Management Staff (500) as well as all relevant Game Day Partners (Parking Staff, Security Staff, Carolina Hospitality/RevelXP staff, Law Enforcement and Pirate Hospitality
