Part of the Division of Student Affairs, University Housing consists of nearly 2.8 million square feet of facilities and is home to more than 9,000 students. The department employs 220 full-time staff members, 21 graduate assistants and 565 undergraduate student workers. As a self-supporting auxiliary, University Housing operates a $59 million budget derived only from student housing fees and other non-state sources. In support of its mission to provide comfortable, affordable and secure housing options where the academic success and personal growth of residents are encouraged and supported, University Housing engages staff members in competency-based training and students in curriculum-based engagement focused on community building, interpersonal skills, social awareness and responsibility, and well-being.

Preferred Qualifications:

Knowledge of Microsoft Office (Word, Excel, Outlook Calendar, Access), and ability to easily learn new systems as required.At least 2 years’ experience in a human resources role.

Position Summary:

The human resources training, recruitment and retention coordinator provides direct support and coordination of human resources functions to Housing employees in accordance with policies, rules, and regulations. The coordinator requires technical expertise, independence of action, excellent judgement, autonomy, and confidential treatment and discretion. This incumbent is responsible for the design, development, and coordination of the department’s comprehensive training plan and well-being training initiatives. Responsibilities also include the development and enhancement of departmental recruitment efforts. The incumbent will work collaboratively with units within University Housing and across campus to coordinate, design, develop and maintain quality curriculum/programs that effectively address department, division and university culture and expectations. This incumbent will be knowledgeable in professional development methods and strategies.

Duties/Responsibilities:

Training

  • Design and develop a comprehensive training plan in collaboration with department units, internal and external staff (including supervisor training on interviewing, performance appraisals and managing performance issues).
  • Assess training needs through surveys, interviews with employees, focus groups, etc.
  • Plan programs to develop staff potential, and refers employees to appropriate career development opportunities.
  • Design, develop and/or coordinate the implementation of a sustainable supervisory training program in accordance with department’s strategic plan including but not limited to coordination of the Division’s Supervisory Excellence Program, interviewing skills, performance management, performance assessments, application of policies and laws.
  • Design, develop, and/or coordinate the implementation of a compliance-based training program in accordance with department and university policies.
  • Coordinate unit-specific or position-specific training programs to ensure that said trainings are conducted in the required format and in a timely manner.
  • Prepare or coordinate the preparation of training documents related to operational, compliance, and workplace safety issues.
  • Ensure compliance of university-wide and departmental standards and procedures in all training sessions.
  • Maintain up to date knowledge of best practices and industry trends as it relates to training.
  • Liaise and build relationships with internal and external staff/resource persons in order to select and assign instructors to conduct training including working collaboratively with the University Housing facilities training position
  • Create well-being training initiatives in coordination with USG and UGA offerings.

Recruitment and Retention

  • Develop and coordinate staff recruitment and retention activities for all 220 full time staff within University Housing.
  • Advise management for opportunities related to recruitment and retention.
  • Lead and coordinate departmental participation at various job fairs, on social media platforms, and/or other marketing materials.
  • Collaborate with Student Affairs Director for Talent Management on any enhancements at the department level.
  • Analyze position descriptions and salary information monthly to remain current with UGA market and select peer institutions to make suggestions to leadership for consideration.
  • Provide prospective and current employees with information about policies, job duties, working conditions, wages, opportunities for promotion, and employee benefits.

  • Prepare monthly/annual training reports and manage filing systems pertaining to training records.
  • Assess training sessions to ensure that departmental training needs are met through training programs.
  • Prepare and maintain central database for all departmental trainings to ensure policy compliance.
  • Analyze and report to management employment-related data.
  • Develop a standard for and maintain current position descriptions for all departmental positions.

  • Assist with employee relations matters when needed
  • Maintain excellent knowledge of federal, state. UGA and Housing policies and procedures, such as equal employment opportunity and sexual harassment.
  • Accurately interpret and explain policies, procedures, laws, and regulations drawing on applied experience and training.
  • Provide accurate advice and assistance to university employees, supervisors and management.
  • Analyze complex queries and draw appropriate conclusions which completely address all aspects of the topic or issue. Recommend needed changes.
  • Maintain, and actively enhance, effective communication and working relationships with university employees, supervisors and management.
  • Collaborate with Central HR, Division leadership and housing staff on HR matters.
  • Prepare and effectively communicate reports concerning human resources activities.
  • Develop Housing HR policies, procedures and programs. Research, analyze and make recommendations for specific policy-related issues.
  • Maintain employee files and records in electronic and paper form.
  • Seek out and attend HR trainings within the University and outside of UGA to broaden knowledge and experience related to HR. Seek out opportunities to apply obtained knowledge and information.
  • Perform miscellaneous job-related duties as assigned.
