Sr. Grants Associate
As a member of the Grants Team in the School of Medicine Office of Research Administration (ORA), the Sr. Grants Associate is responsible for review, problem resolution and Institutional Approval/signature for grant and incoming subgrant applications and awards for their assigned departments/divisions. Reporting to the Associate Director of Grants. The ideal candidate will be a self-motivated, team-oriented person with strong analytical skills, exercises good judgment, is attentive to detail and thrives in a fast-paced, deadline-driven work environment. This is a pre-award position with additional non-financial post-award responsibilities.

Specific Duties & Responsibilities




General/Pre-Award
  • Manage the grants process from proposal submission through closeout for assigned departments/divisions.
  • Review, approve and submit grant applications and Just-In-Time requests.
  • Interpret grant guidelines and apply them to specific applications, awards and issues.
  • Communicate with faculty and staff to provide instruction, assistance and advice on grant preparation and administration and to request corrections and resolve discrepancies
  • Serve as resource for and field questions from faculty and department staff on sponsored projects issues.
  • Maintain positive and productive relationships with faculty, staff, students and sponsor contacts.
  • Conduct specialized and ad-hoc training courses for departments as needed.
  • Represent ORA at national and regional research administration meetings.
  • Remain informed and up-to-date with events, regulations and changes that affect sponsored projects.
  • Other duties (candidate-dependent) potentially include assuming a leadership role on the team.


Post-Award

  • Review, negotiate and accept grant awards and agreements on behalf of the University.
  • Work with compliance offices, Johns Hopkins Technology Ventures, the Office of General Counsel and sponsors to resolve any conflicts regarding award terms and conditions.
  • Request and process certification of human subjects and/or animal approvals from IRB and IACUC offices.
  • Process sponsor prior approval requests and administrative updates, such as relinquishments, carryover, effort reductions, etc.
  • Advise and assist staff and principal investigators with the interpretation and understanding of agreement terms and conditions as they pertain to sponsored projects.
  • Submit account setup requests for new awards or award updates.


Minimum Qualifications
  • Bachelor's Degree required.
  • Three years experience with drafting and negotiation of research-related documents in a sponsored research environment or similar activities at a university, state /federal agency, or similar environment is required.
  • Additional experience may be considered in lieu of education. Additional education may substitute for experience (e.g. JD).
  • Demonstrated understanding of research administration best practices.
  • Must be able to manage competing priorities with multiple—sometimes tight—deadlines.
  • Proficiency in Microsoft Word, Microsoft Excel, Adobe Acrobat and various institutional, federal and non-federal electronic proposal submission and award management systems: Coeus/FIBI, eRACommons, Grants.gov, ASSIST, proposalCENTRAL, fastlane/Research.gov, etc.
  • Familiarity with federal agency policies, regulations, application requirements and their application to sponsored research.
  • Excellent oral, verbal and written communication skills.


*Applicants who do not meet the posted requirements but are completing their final academic semester/quarter will be considered eligible for employment and may be asked to provide additional information confirming their academic completion date.

Preferred Qualifications
  • Experience developing and conducting trainings on research administration topics.
  • Understanding of Uniform Guidance (2 CFR 200), including cost principles.
  • Knowledge of legal terms and conditions that typically appear in sponsored project agreements and principles of negotiation.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
