Job Description Summary

The Program Coordinator provides administrative and programmatic support to the Master of Social Work (MSW) Program. This position is responsible for overall management assistance to the MSW Administrative and Faculty Directors in relation to program procedures and program development. The Program Coordinator provides administrative and programmatic support; provides administrative support to faculty and staff in the MSW Program; assists with recruitment, admissions initiatives, and operations, including application reviews, applicant interviews, and admission decision recommendations; provides academic advising with students; manages marketing and communications operations; organizes events; provides support to the MSW Program and career development initiatives; and interacts with students, faculty, staff and/or other Penn stakeholders at SP2 and across campus in coordinating overall program’s operations and administrative functioning. Some evening and weekend work required.

* All SP2 staff are required to participate in convocation and graduation ceremonies as needed.

Job Description

Provide overall administrative and programmatic support for MSW faculty, MSW students, MSW Faculty Director, MSW Administrative Director, and MSW Governance Committee. Coordinate and schedule meetings, write meeting minutes, and other documents; work with the finance department to request purchase orders, honorarium payments, and make departmental purchases using the Penn Marketplace and the departmental purchasing card; prepare hire letters for PT faculty, TAs, course assistants, temporary staff. Assist the MSW team with building the course schedule and providing orientation information to PT faculty/temporary staff. Provide logistical support with new classroom- and field-based curricular developments as needed. Facilitate connections for faculty and students with other SP2 departments as needed, including Student Affairs, Registrar, Financial Aid, and other divisions.

Contribute to MSW admissions initiatives, including assisting with recruitment, outreach, and admissions duties, meeting with prospective students, hosting open houses and informational sessions, representing the program at recruitment fairs and events, interviewing, and assessing applications, and providing recommendations regarding admission, in collaboration with MSW Administrative Director.

Under the supervision and approval of the Administrative Director, coordinate communications initiatives, maintain website content, and aid in social media ad campaigns and management of social media accounts. Increase program visibility by creating and circulating flyers and brochures for events and courses to the SP2 community and across Penn. Develop additional communications initiatives as needed.

In collaboration with the MSW Program team, coordinate logistics of all program events, including Seminar in Field Instruction training (provide support for the Associate Field Directors), continuing education events, social events for MSW students, alumni events, new student orientation, graduation, and other potential events.

Provide academic advising with incoming MSW students (first year and Advanced Standing) to assist with course selection, degree planning and career development, and other related activities.

Perform additional duties as assigned. All SP2 staff are required to participate in convocation and graduation ceremonies as needed.

Qualifications

BA and 3 - 5 years of experience required, social work, program management, higher education, and master’s degree in social work preferred. The position requires excellent management, organizational, interpersonal and communication skills. Attention to detail and ability to work on multiple tasks and projects required. Must be proficient in Microsoft Office, including Word, PowerPoint, Outlook and Excel. Prior experience working with faculty, staff, students and coordinating admissions initiatives preferred. A commitment to diversity, inclusion, and social justice is a must.

Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
