Position Summary

Serving as the Executive Assistant to the Director, the Administrative Assistant III supports the work of the Director and manages the day-to-day operations of the music office. It also provides ongoing support for Lamont faculty, staff, and students on an as-needed basis. The position works independently under general direction from the Director and handles problems and non-routine situations with minimal supervision.

Essential Functions

  • Director support: Support and coordinate the work of the Director (e.g., manage calendar, schedule meetings, reconcile expenses, coordinate travel); assist with producing, editing, and organizing correspondence and reports; and assist with projects in Development and other areas
  • Staff support: Work closely with Lamonts professional staff who oversee Budget & Management, Advising, Public Relations, Admission, Facilities, and Concert Production
  • Administrative duties and functions: front desk reception, process mail, order supplies, maintain files (print, online)
  • Academic functions: Coordinate functions including promotion and tenure reviews, faculty searches, application processes for faculty sabbaticals, recording minutes for general faculty meetings
  • Course scheduling: Work with Lamont faculty and staff, the Deans office, and the Registrars office on building course schedules every quarter
  • Catering: Coordinate receptions for Lamont functions, often in collaboration with Marketing & Communications
  • Supervise a student employee in the Music Office

Knowledge, Skills, and Abilities

  • Develop and maintain good working relationships with a broad constituency through excellent customer service
  • Communicate effectively both verbally and in writing
  • Present information effectively and respond to inquiries from the university and community constituents
  • Handle sensitive and confidential information
  • Exercise judgment and multi-task priorities

Required Qualifications

  • Associate Degree or equivalent
  • 3 years experience in an office support setting, some of which in supporting an upper-level position
  • Proficient with standard office programs (word processing, spreadsheets, email, etc.)

Preferred Qualifications

  • Bachelors degree
  • 5+ years in an office support setting, at least 3 of which were supporting an upper-level position
  • Experience handling complex projects independently
  • Proven planning and organizational skills accompanied by a high level of attention to detail
  • Knowledge of and experience in some aspect of music
  • Experience in higher education

Working Environment

1. Standard office environment.
2. Unexpected interruptions occur often and stress level is moderate to high.
3. Noise level is quiet to moderate.

Physical Activities

1. Ability to sit or stand in front of a computer for an extended period of time.
2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.

Hourly Range:
