Overview

The Service and Business Integration Specialists serve as a primary point of contact for Facilities. They are responsible for gathering and evaluating the appropriate information from the myriad business data sources that impact Facilities, including Maximo tables, Maximo webforms, TigerSpace, People Soft (chartstrings), PU Directory, and SharePoint.  The Specialists’ goal is to resolve and document queries and direct concerns to the appropriate partner groups with proper escalations and details.  As Business Integration Specialists, the staff troubleshoot data and functional anomalies, and they communicate findings to relevant partner groups.

 

The Facilities Service Center provides the University and community with excellent customer service and specializes in the business systems and organizational procedures used by Facilities and its partner groups. This is a fast-paced, detail-oriented position in which specialists assist customers with Facilities-related concerns. As service professionals representing Princeton University, the staff ensure that customers, regardless of the nature of their inquiry, receive exceptional service.

Responsibilities

Essential Responsibilities:

 

Customer Service

  • Handle customer concerns with professionalism, tact, positive energy, and exceptional customer service, while independently understanding the necessary questions to ask in order to help customers find the best possible solutions to the problem or concern.

Problem Solving/Data management

  • Document, process, prioritize, and direct Facilities service requests submitted via telephone, email, web-based form, and walk-in interactions.
  • Serve as liaison between Facilities, the campus community, and the municipality of Princeton to ensure all communities have access to Facilities-related information and services.
  • Ensure data is detailed and accurate in every aspect of work.
  • As essential personnel, participate in the coordination of departmental actions during campus emergencies, at which times the Facilities Service Center functions as a communications hub.

Trending/Process Improvement

  • As a resource for Facilities workers and the community, specialize in the application and communication of the business systems used to coordinate, document, and communicate work throughout the University.
  • Identify opportunities to improve customer experience and data tracking.

Schedule and Hours:

  • One 8.25 hour shift with 1-hour lunch (36.25 hours weekly) between 6:30 a.m. and 5:30 p.m., Monday – Friday.
  • Must be flexible, able to adjust shifts, and work additional hours as needed. (Overtime eligible).
  • This position is classified as “essential” during campus emergencies.
Qualifications

Essential Qualifications:

  • High school diploma or equivalent
  • Demonstrated customer service skills
  • Demonstrated verbal and written communication skills with attention to details
  • Adept at computer and analytical skills
  • Experience using Microsoft Word, Excel, and Outlook
  • Experience using web-based applications, especially work management systems such as Maximo or SN@P
  • Able to adapt and operate in a fast-paced environment
  • Self-reliant and strong problem-solving skills
  • Avid team player, bringing maturity, positive energy, and dedication to the workplace

Preferred Qualifications:

  • Some college education or university experience
  • Some maintenance experiences
  • Familiarity with a Computerized Maintenance Management System, SharePoint, Automated Call Distributor, space management, and/or relational data bases
