Responsibilities

Responsible for managing administrative, financial, and compliance activities for the Interdisciplinary Medical Sciences (IMS) B.S. and Pre-Health Advising Office. Areas of focus of responsibilities include the following: IMS Degree Unit, Student Research Opportunities, Evaluation & Research, and Outreach. Serves as subject matter expert maintaining awareness of the scope of all IMS Division functions, activities, programs and initiatives including long-range planning and problem solving, especially as they relate to the IMS Degree Unit. Reviews program activities and implements changes to promote effective and efficient operations by establishing division policies and procedures. Serves as liaison within COM and FSU to facilitate communication and provide support as needed for academic matters to internal and external organizations.

Responsible for oversight of IMS and Pre-Health Advising office staff and workflow. Serves as department representative for all finance and administrative activities, acting as first point of contact for transactional accounting and human resources needs. Attends budget meetings and makes recommendations for annual budget planning. Responsible for oversight of purchasing for the division.

Identifies, creates, and implements appropriate tools and resources to meet and track student and advising and academic needs by managing interactive resources. Serves on committees and makes recommendations to management for strategic planning, program planning and development, and evaluation of the program. Participates in the management of the maintenance of central student advising data for the program and program committees.

Develops and manages IMS division branding online and in print materials. Maintains public relations materials, newsletters, website, etc. Promotes an atmosphere of teamwork in accomplishing the strategic initiatives and the mission of the COM.

Qualifications

Bachelor's degree and four years experience; or high school diploma/equivalent and experience equal to eight years. (Note: post-high school education can substitute for experience at the equivalent rate.)

  • Experience in communicating effectively verbally and in writing.
  • Experience in establishing and maintaining effective working relationships.
  • Experience in meeting project deadlines.
  • Experience in performing accurately in a detail oriented environment.
  • Experience in prioritizing, organizing, and performing multiple work assignments simultaneously.
  • Experience in utilizing problem solving skills.
  • Experience in performing assigned responsibilities with minimal to moderate supervision.
  • Experience with Microsoft Excel and Word, or equivalent software.
Preferred
  • Knowledge of applicable computer applications, including OMNI, Microsoft Office and Teams, SharePoint, and Business Intelligence (BI).
  • Knowledge of data analysis techniques and methodology.
  • Knowledge of the principles and practices of project planning, development, and evaluation.
  • Knowledge of the concepts, principles, and practices of accounting, budgeting, and cost control procedures.
  • Experience in developing and implementing policies, procedures, goals, and objectives.
  • Experience in evaluating process effectiveness and developing changes or alternatives.
  • Experience in compiling, reviewing, and reconciling data for accuracy, completeness, and compliance.
  • Experience in training and supervising employees.
