Administrative Coordinator

The Division of Student Success at the University of Tennessee is seeking an administrative coordinator to support three divisional leaders and their teams.

About the position

The administrative coordinator provides support for three members of the executive leadership team in Student Success:  the assistant vice provost & chief strategist, the director of strategic communications, and the chief operating officer. The incumbent is responsible for coordinating the daily activities and needs of the three senior leaders including calendar management, meeting/event scheduling and material preparation, purchasing, and routine office management.  The administrative coordinator will have access to highly confidential information and will need to maintain confidentiality.

Key responsibilities of this position include:

    Managing the calendars of the three senior leaders and scheduling meetings as needed. Organizing agendas and other meeting materials.  Taking minutes as needed.Providing direct assistance when possible and/or directing inquiries to the appropriate office/person. Arranging travel for the three senior leaders. Making purchases on behalf of the senior leaders and/or their teams.Delivering and organizing supplies as needed.Entering transactions and invoices into Iris for multiple accounts for review and approval by leadership.Maintaining and complying with purchasing card and travel card policies.Maintaining files and records in office and periodically moving files to records management.  Managing general office duties including answering phones, scheduling conference rooms, office organization, and other duties as required.

Required skills/knowledge/abilities

    Excellent written and oral communication skills. Time management and organization with attention to detail.Extensive knowledge of Microsoft Office products, especially Outlook, Work, Excel, and SharePoint.
Required level of education and experience

    Associate degree and one year of experience in an office setting including managing calendars and event planning.

Anticipated hiring range: $38,000 - $42,000
