The Academic Program Specialist’s (APA) purpose is the administrative management and support of the Boston University Los Angeles Program. This includes training faculty in the use of Blackboard and other systems, managing student course registration, managing the distribution and collection of course evaluations, managing the workflow for housing turnover between semesters and overseeing office management and upkeep. The PS will also work with all staff in developing and mounting student events. This position is full time, and is based in Los Angeles.

Essential Functions:

Academics (30%).

  • Manage student course selection and Add/Drop and coordinate with BU Study Abroad for registration.
  • Distribute and collect course evaluations
  • Manage the training and updating of faculty on Blackboard and other course management systems
  • Assist faculty with special requests, event, field trips, etc.

Housing (30%)

  • Manage the physical turnover of student housing between semesters, including oversight of the student CA’s, RC and cleaning crews.
  • Manage the upkeep, placement and storage of student housing supplies (appliances, emergency kits, linen, and furniture).
  • Oversee the maintenance of student housing during the semester.
  • Ensure all residences are clean, safe and well-equipped.

Office Management (25%)

  • Program and distribute faculty/staff/student access cards.
  • Coordinate with building management regarding office systems and parking.
  • Oversee the upkeep of office equipment, supplies and operations.

Events/Communication (15%)

  • Collaborate with staff on the ideation and implementation of program orientation and events.
  • Maintain Program social media and website.
Required Skills

A cover letter is required for consideration.

  • BA/BS in Education, Communications/Media, Business Administration or related field.
  • 1-3 years experience in Education, Media, Business Administration or related fields.
  • Excellent Microsoft Office skills and database applications (Google suite, WordPress etc)
  • Excellent public speaking, presentation and writing skills are essential, along with managerial, organizational, and administrative skills
  • High level of self- sufficiency
  • Must be able to multi-task and manage competing priorities.
  • Working knowledge of BU structure and collegiate (COM, SMG, etc.) operations helpful.
