Position Summary

An Enrollment Services Operations(ESO) Integrated Systems Specialist (part-time) supports mission-critical enrollmentsystems and execute processes relating to necessary systems such as theEllucian Colleague Student Information System, including the Self-Servicemodules, as well as Hyland On-Base. This position supports the functions ofadmissions, financial aid, records, and registration.

ESSENTIAL JOB FUNCTIONS

System Testing & Technical

Provides technical support toensure critical functioning for student information systems and applications inareas such as admissions, financial aid, registration, and student records.Collaborates with Analysts across Enrollment and Student Services division andthe College to assist in resolving cross-functional issues, supportcoordination of processes, and improve communication.

Performs other systemtechnological enhancements in cooperation with the Information Technologydivision and other campus entities. Participates in related project meetings,as needed and provides information requested for such meetings. Developsin-depth knowledge of an enrollment service area and recommends processimprovements based on system functionality. Tests and applies studentinformation system (SIS) upgrades and patches as necessary to ensurecompatibility to existing system and services.

Data Analysis, Reportingand Data Maintenance

Maintains and updates data andstatistics of student record information in College databases. Responds to datarequests and meets with involved parties to document data and reporting needs.Performs configuration tasks and set- up as directed. Applies data definitionsfor reporting. Provides analyses of data pulls. Assists in development ofpresentation documents, including graphs, etc.

Customer Service

Communicates with internalpartners regarding admissions, financial aid, student records, andregistration-related systems. Interacts with College departments, OhioDepartment of Higher Education, State of Ohio, Job and Family Services,National Student Clearinghouse, higher education institutions, high schools andother community entities.

Fiscal & Administrative

Prepares, monitors, controls, andensures compliance with department budget. Monitors, verifies and reconcilesrevenue and expenditure of budgeted funds. Keeps secure and accurate records.Maintains required documentation, including contract, status reports, staffingreports, budget information, and other data. Works directly with the Directorof Financial Aid to ensure compliance for all financial processes and systemssupport. Recommends policy and process changes accordingly. Maintainsconfidentiality of student and personnel records, and maintains personnelfiles, financial data, and other sensitive information. Recommends departmentalpolicy and process changes accordingly.

Other Duties andResponsibilities

Attends all required departmentmeetings and trainings.

Manages multiple assignments ofvarying complexity while meeting federal and state, as well as, internalregulations and procedures. Demonstrates the ability to adapt to changing needsof the College and business partners.

Usual PhysicalRequirements

While performing duties of thisjob, the employee regularly exhibits digital dexterity when entering data intocomputer. The employee regularly stands and walks for extended periods of time,and occasionally sits.

Employee converses verbally withothers in person and by telephone. Employee occasionally reaches with hands orarms, climbs or balances and stoops, kneels, crouches or crawls. Vision demandsinclude close, relatively detailed vision and distance vision. Employeeoccasionally lifts or exerts force of up to 25 pounds when moving materials.

Working Conditions

Typicaloffice environment. Regular exposure to moderate noise typical to businessoffices.

Knowledge, Skills and Abilities: Knowledge of: Ellucian Colleague or other student information system; Radius by Campus Management or other CRM (customer relationship management) system; FERPA; computer software, including the Microsoft suite, HTML/XHTML, SQL, and database management; and standard office practices and procedures.Skill in: operational analysis and troubleshooting technology systems; supporting program functions; computer programming and systems maintenance; complex problem-solving; multi-tasking; verbal and written communications; maintaining good public relations and customer service; general typing and operation of office equipment. Maintains confidentiality of student records in accordance with the Family Educational Rights and Privacy and Higher Education Acts.Ability to: work independently, demonstrating initiative and follow through; effectively navigate multiple tasks and activities; exhibit flexibility in work schedule and job tasks; collect data, establish facts, and draw conclusions pertaining to system operations problems and enhancement; appreciate diversity and work effectively with persons of different cultures and backgrounds; develop and maintain effective working relationships with associates, supervisors, job contacts, and the general public; handle routine tasks while maintaining a high attention to detail; exhibit a pleasant telephone manner; answer routine and complex inquires; maintain confidential and sensitive information; maintain accurate and complete work records; speak effectively to large groups.

Minimum Qualifications:

High School Diploma or GED. Three (3) years of systems experience. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
