Position Description:
Under the supervision of the Manager of Payment Solutions and Compliance Office, PSC's Disbursement Specialist will provide cash handling support for the campus by acting as a liaison between the armored courier vendor, the Main Cashier Office and various campus departments. The position will procure, disburse and create journals for $2M+ annually in cash and gift cards. Oversees and ensures disbursement functions are timely and appropriate for Human Subject research. Responsible for working as a liaison between Office of Human Research Protection Program and Extramural Funds Management as needed. Oversees and ensure that disbursements are handled and processed in accordance to UC Policy G-41 & G42, Employee Non-Cash Awards and Other Gifts, BUS-49 Policy for Cash and Cash Equivalents Received, and UCLA Policy 361: Cash Handling Safety and Security for all requests for Employee Recognition and Human Subject as need. Responsibilities include, scheduling the delivery of all cash and cash equivalents to both campus and Medical Centers, communicating standards to the Armored Courier vendor, preparing necessary financial transactions to assess the correct fees to various campus departments in accordance with their usage of armored services, creating Excel spreadsheets to streamline reconciliations, coordinating the armored courier vendor's work schedule and provide communication and support between the armored courier and campus departments. PSC's Disbursement Specialist will also provide administrative support to the Cashier Manager and Associate Director with opening and closing processes and all back-office processes as well as performing other duties as assigned.
