Position Summary:

Florida Atlantic University is seeking a Maintenance and Billing Specialist- Boca Raton, FL.

  • Assists with departmental budgets, maintains spreadsheets, and is responsible for creating requisitions and purchase orders for emergency and non-emergency repairs and maintenance for all campuses.

  • Analyzes office operations needs in terms of equipment, workflow, materials, and makes recommendations. Receives periodic direction and program review but operates independently within broad guidelines with considerable latitude for self-direction in the operation of all administrative duties of the Business Office.

  • Assists with developing work documentation and complies information for financial statements or reports for a variety of funding sources.

  • Responsible for monthly reconciliation of Smart Tags related to repairs and maintenance for all campuses.

  • Responsible for communicating with vendors and other departments to research and/or resolve general inquiries such as: payments/invoices, purchase orders, etc. Obtain necessary documentations. Responsible for creating receipts for all purchase orders relating to emergency and non-emergency repairs and maintenance.

  • Responsible for working with Controller's Office, Purchasing, Finance and other departments to maintain the processing of emergency and non-emergency repair, maintenance, and collection of bills in a timely manner, to include reconciliations, create receipts, outside invoicing, payment approvals and expenditure transfer funds for all campuses. On a daily basis, monitors, revises, and makes sure that all invoicing is submitted in a timely manner and accurately.

  • Responsible for communicating with vendors and other departments to research and/or resolve general inquiries such as: payments/invoices, purchase orders, etc. Obtain necessary documentations.

  • This position will cross-train with other job duties within the department to ensure that the Business Office has adequate and suitable resources to complete its activities regarding staff, materials, and equipment to comply with the overall mission of the Business Office. This includes but is not limited to Construction Accounting project related tasks and Utilities Billing processes.

  • Assists in researching operational problems and recommends/implements solution. Recommends changes to existing procedures and assists in developing new procedures.

  • May be required to work during an emergency affecting the University, designated as Essential Personnel.

  • Performs other related duties as necessary.

Minimum Qualifications:

High School diploma and 5 years of appropriate experience required.

Must have excellent customer service, organizational and time management skills.

Must be proficient in Microsoft Office programs such as Word, Outlook, Power Point and Excel.

Excellent verbal and written communication skills are essential to success in this position.

Salary:

$40,000 - $43,000 per year
