Job Summary

The Academic Program Manager is responsible for the development and management of a complex and dynamic departmental course and teaching schedule in the Department of Mathematics and Statistics, a large and rapidly growing academic department with over 70 faculty, 75 graduate teaching assistants, 1000+ majors, enrolling more than 15,000 students in 250+ lecture sections and 175+ discussion/lab sections each year. The incumbent will also support the development and growth of the department’s Continuing and Professional Education course offerings and professional Master’s programs, and supervise three staff positions.

Essential Functions

  • Develop options for faculty teaching assignments and discuss possibilities with Department Head, Associate Head, and Director of Administration and Staff. Create time schedules for all courses and all instructors. Adjust assignments and schedules to respond to changes in instructional personnel, unexpected enrollments and varying information.
  • Discuss course content and possible assignments to remaining unassigned courses with each new Faculty member and each new Teaching Post Doc (Visiting Asst. Professor), then discuss teaching assignments for each with the Department Head. Provide orientation, including both administrative and pedagogical matters, for each.
  • Review qualifications and performance of all Graduate Teaching Assistants (GTAs) and make appropriate teaching assignments for each, in conjunction with Graduate Program Director (GPD). Work with GPD and Associate Head on graduate student performance issues. Recruit and hire External Graduate TAs.
  • Responsible for implementation and coordination of department course change procedures and enrollment management during the course change period.
  • Determine number of undergraduate TA’s (UGTA) that can be hired each semester (normally 25-30) and the distribution of them as well as graduate TA’s to various courses. Advise the Faculty supervisor of the UGTAs with respect to budget considerations and work in conjunction throughout the hiring and evaluation process. Responsible for determination of stipends.
  • Supervise department clerical academic support staff members.
  • Develop, oversee, and manage professional, reliable and efficient academic support systems for course chairs and large multi-section courses, e.g. repositories of syllabi and exams, registration/rostering of students in online homework systems, space and proctoring assignments for midterm and final exams.
  • Responsible for scheduling of final exams, joint course exams, and classroom optimization.

Other Functions

  • May teach one (1) course per semester.
  • Work collaboratively and effectively to promote teamwork, diversity, equality and inclusiveness.
  • Work in partnership with colleagues within the CNS community and across the campus to support the Dean’s strategic priorities.
  • Perform other duties as assigned in support of the mission and goals of the College of Natural Sciences.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s degree in Mathematics/Statistics or a closely related area required, plus three (3) years administrative experience, preferably in an academic setting OR Master’s degree in Mathematics/Statistics or a closely related area and at least one (1) year of administrative experience, preferably in an academic setting.
  • Knowledge of scheduling processes.
  • Proficiency with spreadsheet and database applications.
  • Excellent organizational and interpersonal skills necessary to coordinate complex projects and to work carefully under pressure and time constraints.
  • Supervisory experience of professional or student staff.
  • Ability to coordinate and work well with a diverse array of faculty, staff, graduate students, and undergraduates.
  • Strong written and verbal communication skills.
  • Ability to work independently to organize multiple tasks and set priorities for action, take initiative, be creative, and operate with self-direction in a fast-paced office environment.
  • Excellent interpersonal skills and ability to interact effectively and work productively in establishing and maintaining harmonious working relationships with a diverse population of faculty, staff and students.
  • Ability to organize and prioritize goals; ability to collaborate well to formulate plans and objectives in accordance with overall college goals; ability to identify and implement process improvements.
  • Ability to manage multiple projects simultaneously and to set and meet deadlines while maintaining high standards of accuracy and quality.
