General Description:

Prepares and processes the college biweekly payroll; maintains and updates payroll data and records. Prepare required payroll reports and statistical information. Provide excellent customer service to supervisors, faculty, staff and student employees.

Qualifications: Knowledge, Skills & Abilities:

  1. Associate Degree required and two years’ of related experience preferred or equivalent.
  2. Demonstrated knowledge of payroll procedures prefer experience with the Michigan Public Employees Retirement Systems (MPSERS).
  3. Advanced experience working with Microsoft Excel including formulas and pivot tables preferred
  4. Excellent knowledge of reporting procedures and record keeping.
  5. Demonstrated ability to use professional tact, judgement and discretion while relating to people of all ages, races, and social-economic backgrounds.
  6. Demonstrated ability to operate office technology, software, & equipment including our enterprise system (Colleague).
  7. Strong analytical and organizational skills.
  8. Ability and willingness to upgrade skills including technology or process changes.
  9. Ability to mentor, coach and work with student workers while setting a good example by demonstrating professional workplace behavior and work ethics.
  10. Demonstrated ability to create a warm, welcoming environment to students, parents, faculty/staff, colleagues, and community members especially during busy/chaotic times.
  11. Demonstrated ability to work as part of a successful team while accomplishing tasks and assignments without assistance, even while multi-tasking.
  12. Highly motivated and solution oriented with a high degree of integrity, ethics and dedication to the mission of the College.
  13. Demonstrated excellence in both oral and written communication skills.
  14. Requires prolonged sitting or standing, keyboarding and work on computer (hand/eye strain), speaking in English via phone or in person
  15. Knowledge of business/office procedures, including maintaining confidentiality.
  16. Ability to anticipate and solve problems in a proactive manner.
  17. Possess excellent phone and oral communication skills to deal with a diverse set of customer concerns.
  18. Must be adaptable and flexible to changes in processes.

Essential Function:

  1. Responsible for accurate preparation, input, updating, and processing of biweekly payroll for all employee groups. Act as lead person in matters pertaining to the payroll function.
  2. Create and prepare reports on payroll related data utilizing our reporting system and Microsoft excel.
  3. Able to discretely handle confidential information and resolve payroll related concerns.
  4. Maintain quality payroll systems and support of continuous improvement for all payroll processes.
  5. Support supervisors, faculty, staff, and student employees with payroll related questions. Exercises discretion in giving information.
  6. Update and maintain employee records in multiple retirement systems including the state ORS system.
  7. Responsible for providing necessary information for internal and external audits
  8. Input all employee change information into the payroll system.
  9. Maintain and update sick leave, vacation, personal and other leave records while following multiple policies and procedures as well as maintaining compliance with all applicable laws and regulations.
  10. Calculate and prepare check requests for all payroll withholdings including annuities, insurances, credit unions, union dues, and miscellaneous other withholdings.
  11. Prepare and submit governmental and other reports for retirement, unemployment compensation, insurance and any payroll taxes if applicable. Complete wage portion of workers’ compensation reports and employment verifications for college employees.
  12. Work with the Finance Department to prepare and distribute federal form W-2 to all college employees.
  13. Maintain ongoing knowledge of regulatory, legal, and tax issues impacting the college and implements practices for compliance.
  14. Maintains payroll website and portal page.
  15. Maintains payroll guidelines by writing and updating procedures.
  16. Other duties as assigned.
