Florida Atlantic University is seeking an Assistant Director, Clinical Programs. - Boca Raton, FL.

Summary of Responsibilities include:

Operations Management/Administration:

  • Oversee management of day-to-day operations for FAU Medicine’ Primary Care Practice and the Marcus Institute of Integrative Health (MIIH). Manage administrative and medical staff, evaluate practice operations, and recommend enhancements to streamline operations and practice functions. Collaborate with physician leaders to develop and implement strategic growth plans as well as to explore new revenue sources.

  • Manage all front office operations. Develop, implement, and maintain policies, procedures, and systems to ensure accuracy and efficiencies in patient and physician scheduling, patient registration, patient communications, referrals, payment collection, insurance verification, and medical records requests. Liaise with back office personnel (outside billing company) to ensure front desk operations maximize collections and minimize denials.

  • Work with physicians on managing quality metrics related to Merit Based Incentive Payment System (MIPS) and Managed Medicare plans to include liaising with outside managed Medicare contract partner and billing company.

  • Coordinate, review, and take corrective action on patient satisfaction surveys.

  • Work with outside billing company to maintain provider credentialing with payors.

  • Serve as critical resource for the recruitment and onboarding of physicians for FAU Medicine’s Primary Care Practice and MIIH. Oversee search logistics and support the search committee throughout the recruitment process.

  • Work closely with the VP for Medical Affairs and practicing physicians to develop business policies and protocols for achieving goals and objectives for the Practice and MIIH. Participate in strategic planning to ensure success, growth, and diversification.

  • Oversee unit HR Partners and serve as the primary contact for all personnel matters: mentor and train staff, perform staff evaluations, complete appointment and position modification request forms, initiate business processes, and manage recruiting and retention efforts while adhering to internal COM and University guidelines. Liaise with Faculty and Staff Affairs to resolve issues and generate reports as needed.

  • Ensure compliance with all pertinent laws and regulations including the Health Insurance Portability and Accountability Act (HIPAA).

  • Serve as the cost center manager and liaise with COM Finance to prepare and monitor financial reports, annual budgets, track expenditures, purchasing requests, and approve financial transactions in Workday.

  • Work closely with the COM Finance team to create, organize, and analyze FAU Medicine and MIIH financial reports for tracking trends, forecasting annual volumes, expenses, and revenues.

  • Develop an internal system for purchasing and tracking inventory of office, nursing, medical assistant, and physician supplies.

  • Ensure effective and timely communication between FAU Medicine and MIIH staff and important constituents including patients, College leadership, staff, and external partners. Investigate and resolve problems and ensure that information requests are handled in a professional and timely manner.

Clinical/Patient Experience:

  • Oversee and manage patient interactions and experience to ensure strong relationships with patients, families, physicians, staff, and community partners.

  • Facilitate communications by building and maintaining relationships to ensure a superior patient experience.

  • Ensure care provided is within the scope of service and practice as well as license for all medical and nursing services provided.

  • Monitor environment to ensure the most efficient and cost-effective use of physician and staff time, skills, and productivity.

  • Manage practice staff to maintain efficient patient flow patterns to meet patient acuity needs and effective staff productivity.

  • Assist with the development of, and is responsible for, implementing, training, and ensuring compliance of all employees with practice protocols, policies, and processes related to patient care, operations, and university requirements.

  • Ensure all employees provide exceptional service while maintaining and safeguarding the confidentiality, security, and physical safety of patient’s medical records.

  • Develop process to ensure patient exam rooms are efficiently stocked with needed and anticipated patient care supplies.

Brand Management/Events:

  • Work closely with the COM Marketing and Communications Team to further develop and implement a marketing plan for FAU Medicine including targeted markets, effective use of various media (including social media), and events.

  • Liaise with COM Marketing and Communications Team on advertising requests, brochures, web management, virtual events, marketing plans, and promotional materials for FAU Medicine and MIIH.

  • Track effectiveness of marketing tools and develop long-range marketing campaigns to support growth and diversification of FAU Medicine and MIIH

  • Complete special projects and perform other duties as assigned.

Minimum Qualifications:

Bachelor’s degree from an accredited institution in an appropriate area of specialization and five years of progressive experience in a primary care practice or clinical office setting; or Master's degree from an accredited institution in an appropriate area of specialization required.

Proficiency with EMR systems and software applications, including Microsoft Office Suite required.

Prior management experience in a physician clinic setting, including personnel management, coding, billing and collections software, insurance, and referrals; manage unresolved billing claims to correct any problems; as well as knowledge of standards specific to the state, federal, and other regulatory requirements preferred.

Exceptional organizational effectiveness skills, operations management experience, and knowledge of healthcare administration preferred.

Must be dedicated to developing the practice, providing exceptional service, ensuring efficient workflow and high productivity, and creating a positive environment and experience for patients, staff, faculty, and physicians.

Must have knowledge and understanding of HIPAA, ADA, OSHA, and other regulations.

Must have basic knowledge and understanding of billing Medicare, Medicaid, and commercial
payors.
