Job Summary

Provide creative vision for audience development and publicity management at the Kahn Liberal Arts Institute at Smith College. Plan and manage publicity efforts, and develop promotional ideas in conjunction with Kahn Director and project organizers. Provide logistical support for Kahn director and for long- and short-term projects and their organizers.

Take appropriate actions to support a diverse workforce and participate in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Essential Functions

  • Develop, in consultation with College Relations, long-term strategies for publicity, marketing and on-line presence. Plan and manage new publicity efforts and promotional ideas in conjunction with director.

  • Responsible for the design, production, and distribution of all physical and digital publicity and marketing materials, consistent with college-wide guidelines and accessibility requirements. Collect information, and create (writing and editing, and creating or supervising layout and design) all publicity materials for the Kahn Liberal Arts Institute, its projects and public events. Write, edit, and disseminate press releases, PSAs, and associated material in timely fashion for academic year events and for additional events as assigned by supervisor.

  • Understand and follow Smith College general public relations protocols. Coordinate with College Relations as appropriate. Maintain media materials for press and websites. Plan and coordinate new publicity efforts and promotional ideas in conjunction with chairs and department objectives.

  • Hire, train, supervise, and maintain schedules and job assignment descriptions for student employees.

  • Manage publicity budget.

  • Work with Kahn project co-organizers, faculty and student fellows, and Kahn Director on project logistics, planning and implementation. May need to attend and manage evening talks, performances, concerts, screenings and/or other events.

Specific task list:

  • Order summer materials for fellows (i.e., readings/films):

    • copy and distribute articles/journalism

    • research/purchase/post film or video assignments

    • order and deliver book copies

      • obtain home addresses from fellows

      • stuff mailers with mailing labels

  • Facilitate/compile projects lists of speakers/readings

  • Research proposed speakers; locate contact info

  • Draft speaker invitations

  • Follow-up correspondence with speakers

  • Arrange speaker dates/logistics/honoraria

  • Keep website and ongoing Kahn news updated and active

  • Stay up to date with college-wide web design guidelines

  • Continue publicity and campus outreach

  • Coordination of project logos and other design needs

  • Ongoing communication with fellows and other correspondence

  • Work with short-term project organizers/fellows re: logistics, speakers, readings

  • Coordinate publications:

    • rewrites/updates of Faculty and Student Fellows brochure

    • rewrites/updates of Kahn Info brochure

    • General Kahn news and creation of online Kahn newsletter

    • Kahn projects Fellows pages and projects brochures

    • Confer with College Relations on design guidelines

  • Manage A/V for both in-house and campus Kahn events (including projects)

    • Oversee the A/V and other details of the colloquium room, small conference room, lounges, and offices

  • Research workshop preparations

  • Ongoing meetings with Advisory Board, staff, etc.

  • Coordinate field trips, site visits, access to performances, etc. for projects

  • Liaise with facilities to maintain the building and grounds of 21 Henshaw Avenue

  • Manage all necessary work orders

Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)

BA/BFA and 3 years job-related experience and/or the equivalent combination of education and/or experience. Professional experience in marketing and/or publicity.

Experience working with individuals from diverse backgrounds.

Skills

Ability to solve problems; ability to take initiative; excellent communication (oral and written), organizational and interpersonal skills; strong project and budget management skills. Comfort and experience with social media and marketing. Web design and graphic design skills are a plus but not required.

Additional Information
