Applications are being accepted for a full-time Administrative Assistant - Business and Information Technology at Moraine Park Technical College, Fond du Lac campus. This position provides administrative support and technical assistance to the Business and Information Technology Instructional work team.
Beginning: Immediately
Applications will be accepted until the position is filled; however, initial review of applicants will take place September 21, 2022.
Responsibilities1. Coordinate the communication of information to Business and Information Technology Instructional work team, students and the general public. Identify the appropriate resources/services necessary for referral.2. Coordinate with College work teams the setup of courses for assigned programs. Prepare and process contract faculty workload and adjunct payroll agreements. Analyze enrollment data, make recommendations regarding cancellations, changes and wait lists.3. Coordinate with other academic and support system departments to facilitate grade changes, course descriptions, catalog updates, program information sheets, elements of quality program review process, outcome assessment, and other academic tasks.4. Utilize appropriate software applications for payroll, state reporting, calendaring, e-mail, student and class information, and budgeting.5. Facilitate the book order process with Bookstore and publishers.
6. Assist with development of work team budget including preparation of materials for Associate Dean.7. Coordinate advisory committee meetings including managing membership lists, correspondence, meeting arrangements and maintaining agendas and minutes.8. Assist with adjunct employee hiring and prepare new employee orientation materials. Update adjunct database and assist with new adjunct employee orientation.9. Train and assign work to work study student(s) and temporary staff. Provide back up support to other Academic Administrative Assistants and perform other duties as assigned.
Qualifications1. Associate Degree in a related field. Bachelor’s preferred.2. Three years of related work experience.
3. Any combination of equivalent training and experience which provides desired knowledge, skills and abilities.
4. Excellent written and verbal communications skills.5. Ability to plan, organize, prioritize work; analyze information, resolve problems and make recommendations.
6. Extensive knowledge of office practices, procedures and equipment. Thorough knowledge of Microsoft Office applications including Word and Excel. Experience entering and managing data in a database system.
7. Ability to establish and maintain effective working relationships.8. Ability to function as part of a team.
9. Ability to maintain confidentiality. Knowledge of the Family Education Rights and Privacy Act (FERPA) preferred.
10. Demonstrated ability to work effectively with diverse populations by promoting and maintaining an inclusive work environment and culture that is respectful and accepting of diversity.11. Ability to assign work and train staff.12. Ability to exercise individual initiative, independent action and sound judgment.13. Knowledge of accounting methods and procedures. Ability to type 60 wpm.14. Ability to maintain confidentiality.
