Administrative Specialist II

University Housing is seeking an Administrative Specialist II to work in the main Housing office. The Administrative Specialist II provides assistance to the Executive Director of University Housing.

Principle Duties

    Provide administrative support to the Executive Director of University HousingTriage calls from staff, faculty, students, parents, and others by assisting when possible and routing to appropriate personnel or departmentsPrepare correspondence, reports and other University documents for Executive DirectorRecord, prepare, and distribute minutes from departmental meetingsMaintain calendar for the Executive Director and compile documentation relevant to meetings; correspond with individuals regarding meetings with the Executive DirectorAssist in scheduling events in meeting rooms in University Housing main office and residence hallsMaintain filing system and inventory of office supplies; order and disseminate office suppliesArrange travel and process travel documents for the Executive Director and departmental staffAssist the Executive Director with administrative staff searchesAssist in the maintenance of departmental records and storage, including electronic filesResearch peer and aspirant institutional policies, procedures, and initiatives


Qualifications
Qualifications

Education: High school diploma

Experience: 3 years of administrative support experience

Knowledge, Skills, & Abilities:

    Strong word processing skills; proficient with computer email and attachmentsSkills managing databases and spreadsheetsStrong interpersonal, verbal, and written communication skillsAbility to handle multiple tasks simultaneouslyAbility to accomplish job related tasks without direct supervisionAbility to determine daily priorities for assignments, projects, meetings, and appointmentsAbility to handle and maintain confidential information and exercise discretion and good judgment
Preferred Knowledge, Skills, & Abilities:

    Knowledge of functional areas within University HousingKnowledge of UT databases and systems (IRIS, Banner, CS Gold, etc.)
Preferred Certifications: Certified Administrative Professional (CAP)
