Position Type: Staff Full-time

Weeks per year: 10 Month (August-May)

Work Schedule: Monday through Friday; Evening and Weekend Hours Required 

Department Summary & Job Purpose:

The Special Assistant to the Director of Athletics and Chair of Physical Education/Assistant Soccer Coach is responsible for providing support for special projects, physical education, and Department functions for the Department of Athletics and Physical Education in addition to serving as an assistant coach for the soccer program.

 

Core Job Duties and Responsibilities: 

The duties and responsibilities include, but are not limited to, the following functions:

Physical Education Department Coordinator (5%)

1. Submits Physical Education schedules and maintains contact with the Registrar’s Office.
2. Assists with space scheduling for physical education courses.
3. Attend Department Coordinator meetings as scheduled.

Special Projects (45%)

1. Support the diversity, equity, and inclusion efforts of the Department of Physical Education and Athletics in conjunction with the Division of Student Life and Mount Holyoke College.
2. Lead the organization and plans for yearly special events including the Friends of Athletics Golf Tournament, the Athletics Hall of Fame, sport reunions and alum events, and annual special events for student-athletes (e.g. awards celebration, athletics kickoff).
3. Coordinate logistics for overnights including championships and break trips (e.g. hotels, flights).
4. Maintain and support relevant NCAA and MHC requirements including yearly reporting, sexual violence prevention and minors safety requirements, and tracking staff requirements including supporting on-boarding.
5. Serve as a Game Day Administrator, the lead organizer and decision-maker on game days, as needed.
6. Serve SAAC and other student-athlete groups as needed including advising them with their special events (e.g. NCAA Division III week, Diversity & Inclusion Week, etc.).
7. Handles confidential personnel material, including team and personnel evaluations and arranges evaluation meetings with teams.
8. Hires student workers through JobX, as needed, and monitors timesheets.
9. Handles the ordering and maintaining of adequate levels of supplies and serves as a general resource for office administrative operations for students and staff.

Assistant Coach, Soccer (45%)

1. Support the head coach in developing and implementing strategies to successfully recruit, yield, mentor, and retain a diverse group of academically and athletically talented student-athletes.
2. Coach specific position student-athletes in position groups assigned (e.g. keepers, defense), in both team and individual settings.
3. Assist the head coach in all aspects of running a competitive collegiate soccer program.
4. Organize and manage training programs for assigned position groups including creating and conducting training plans for assigned student-athletes.
5. Attend and support team needs at all practices and contests and specifically for assigned position groups.
6. Create a team environment which allows all student-athletes to grow and develop as students, as athletes, as leaders, and as individuals.
7. Promote a culture of health, well-being, and safety in all aspects of the intercollegiate varsity soccer team.
8. Plan and coach the annual team clinics and prospect days occurring multiple times a year. 9. Support non-competition events as assigned by the head coach including community service, fundraising, and alumnae events.

Other Duties (5%)

1. Participate on Department and College committees as assigned.
2. Other duties as assigned. 

Qualifications: 

  1. The position requires a Bachelor’s degree
  2. Valid driver’s license; previous collegiate experience whether it be coaching or competing, and/or success as a head coach at the high school level
  3. Excellent organizational, interpersonal, and communication skills with the ability to efficiently and effectively carry tasks out to completion
  4. The ability to function effectively at a competitive liberal arts NCAA Division III college with highly selective academic standards.
  5. This position also requires creative thinking; special event experience; and experience or strong interest in diversity, equity, and inclusion initiatives.

Preferred Qualifications:

Master’s Degree in a related field and administration experience is preferred.

License/Certifications: N/A

Compliance Requirements: 

All department employees are required to demonstrate exemplary ethical conduct and conformance to NCAA rules and regulations; the duties of the position are to be performed in compliance with all NCAA, Conference and College rules and regulations; and any rules violations on behalf of themselves or any knowledge of violations within the department are to be reported to the appropriate parties. Annually, all department employees must successfully complete the NCAA Division III rules test and athletics staff sexual violence prevention training.

Physical Demands: 

  1. Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/ or leg control requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated as light work.
  2. Talking: Expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
  3. Sufficient clarity of speech required includes those which permit the employee to discern verbal
    instructions and communicate effectively in person and by telephone.
  4. Employee speaks with students and other faculty daily by telephone, e-mail, or in person on a daily basis.
    Visual Acuity including color, depth perception and field vision.
  5. Employee operates office equipment and computers to perform essential duties and responsibilities.

Working Conditions: 

  1. Regular evening and weekend hours are involved and the ability to travel is required.
