Job Overview

The Administrative Officer provides key administrative support to the leadership team in the Division of Student Affairs, including the Vice President, Associate and Assistant Vice Presidents, and supports the mission of the Division of Student Affairs through oversight and direction of internal and external communication. They maintain regular contacts as requested by the VP and AVPs with peer university Dean's and VP's offices, executive professionals, and representatives of governmental and non-governmental organizations; and communicate with the VP and the division's senior leadership team on sensitive and/or confidential issues and work to resolve issues as directed.

They are responsible for the effective day-to-day management and operations of the DSA office and coordination of their activities with university leadership, staff, faculty, and colleagues; as well as for scheduling, organizing, and coordinating events, programs, and meetings.

The Administrative Officer is a multidimensional role that requires that complex and highly confidential information are brought together in support of the Office of the Vice President and its responsibilities. They employ the highest level of professionalism; exercise confidentiality and discretion; demonstrate knowledge of University protocol and appropriate business etiquette; and represent the Division of Student Affairs in daily interactions. This person will converse daily with the University's top administrators, their colleagues and staff, as well as parents, students, faculty, alumni, donors, members of multiple internal and external boards, and volunteers.

This position is responsible for internal and external communications, including managing general inquiries; overseeing communications from the Office of the Vice President to students, parents, and families; and upholding communication within the Division of Student Affairs. They ensure delivery of quality products and deliverables and accomplish the responsibilities of the position with collegiality, collaboration and prompt and effective service with internal and external constituents. They take rough documents and craft finished projects, employing exceptional facility with Excel, PowerPoint and Word; and translate content into multiple forms and formats while ensuring coherence and continuity throughout all documents, giving communications the breadth required.

Work Interactions

Reporting to the Associate Vice President for Student Affairs with additional feedback and input from the Assistant Vice President for Student Affairs and Student Health, the Administrative Officer supervises the Administrative Assistant for the Division of Student Affairs, as well as graduate and undergraduate student staff members.

Responsibilities
  • Receives and responds to internal and external calls, inquiries, and visitors for VP and AVPs
  • Collaborates with VP and AVPs on response to wide-ranging issues eliciting student and community response
  • Assesses and troubleshoots requests, evaluates resources for resolution and engage VP and AVP for timely and responsive action
  • Establishes and maintains accessible, comprehensive and confidential files and manages record management and data retention
  • Manages expenses and reimbursements, processing them in a timely manner in full compliance with University and Main Campus policies
  • Organizes readings, assignments and online course site for workshops, presentations and academic courses led by division senior leadership
  • Establishes tracking and feedback system to ensure issues are recorded, addressed, and resolved and that VP and AVP responses meet deadlines
  • Provides all other administrative support at the direction of the DSA executive team
  • Recruits, hires, trains and supervises the Division of Student Affairs Administrative Assistant
  • Drafts emails, memos and letters on behalf of senior leaders in the Division of Student Affairs for constituents both on and off campus in coordination
  • Assembles research and briefing materials required by senior leadership in DSA in the execution of their professional and scholarly duties
  • Oversees responses to inquiries and manage the flow of correspondence to and from the Division of Student Affairs
  • Performs research to gather background material and readings to DSA executives in advance of meetings in which they are participants
  • Compiles and distributes handouts and meeting materials to participants in a timely manner
  • Maintains calendars for DSA executives including prioritizing, scheduling and arranging logistical details for meetings and teleconferences
  • Schedules a high volume of appointments with University administrators, faculty and staff members, students, donors, and others.
  • Perform all administrative duties with specialized attention to the fact that the information, decisions, and communication involved may be sensitive or confidential.


Qualifications
  • Bachelor's degree
  • 5 years of progressively responsible administrative and communications experience
  • Ability to perform light physical activities and lift materials up to 20 pounds


Preferred qualifications: Master's degree in communications, operations, higher education, or other

Pay Range: $60,000 to $67,000
