JOB SUMMARY:

This position performs a variety of highly technical tasks related to the areas of Registration and Financial Aid. Positions at this level are assigned to the day-to-day highly technical and specialized functions in addition to general clerical work related to the assignment. Employees in this position have thorough specialized knowledge and technical skills to support student services programs and to independently assist students, staff, and community members at the front counter, over the phone, and through written and electronic correspondence.

ESSENTIAL FUNCTIONS:

General responsibilities:

  • Perform a variety of complex duties in support of Student Services. Handle multiple priorities and tasks simultaneously and makes decisions independently according to established guidelines.
  • Respond to questions and provides information to students and the public. Provides back-up with regard to email, phone calls and voicemails that are received in the Enrollment Services departments.
  • Provides training and resources for Enrollment Services areas to Central Help Desk student employees.

Registration:

  • Register students in person, through email, and provide guidance for registration through the Student Portal.
  • Assist with transcript requests and processing. Collect requests, print transcript forms, verify payments and holds, and mail out orders.
  • Assist with reviewing error reposts and review/submit degree verifications. Respond to requests if holds exist.
  • In-put and maintain transferable credits and test scores in each individual student’s account.
  • Process district class schedules by reviewing faculty submissions for accuracy, assigning section codes, inputting information into course files, and generating a copy ready schedule.
  • Prepare all documents for the State FTSE audit visit.
  • Process international student application forms, evaluate visa documentation, transcripts, and issue 1-20 forms.
  • Regularly monitor enrollment verification error reports and make necessary corrections. This includes Student Status Confirmation reports for the NSLDS system.
  • Assist with the dual enrollment program verification and registration process.

Financial Aid:

  • Perform a full-range of clerical duties in support of the Financial Aid Office. Duties include: receiving incoming telephone calls and managing department email account.
  • Collect, review and record receipt of student documents needed for verification process; and working with students regarding required documents for verification, availability of awards.
  • Process and mail/email Award Letters.
  • Opening and distributing office mail.
  • Download scholarship applications from DocuSign account, log into student information System-Anthology Student, review for student eligibility and match to Foundation or institutional scholarship programs.
  • Complete and send DES Verification Forms
  • Prepare FA Appeal packets for the Financial Aid Appeals Committee and notify students via email of results.
  • Process external scholarship and private loan checks to ensure student continues to meet eligibility and ensure no over-award situations exist.
  • Perform other duties commensurate with the functions and level of the position to include the recruitment and retention of students.

QUALIFICATIONS:

EDUCATION/EXPERIENCE: One year of college (30 credits) and two (2) years of experience performing student services or related duties – or – three (3) years of experience performing student services or related duties in lieu of education.

SALARY: $18.63 - $19.75 per hour (Dependent upon qualifications)

KNOWLEDGE, SKILLS, & ABILITIES:

  • Knowledge of specific processes, policies, and procedures of office management and workflow procedures to include effective management of workload, i.e. prioritizing, and organizing work.
  • Knowledge and skill in various word processing, spreadsheet, database, presentation, and integrated information software, systems, and associated hardware, e.g. personal computers.
  • Skill in gathering, compiling, and presenting information in oral and/or written form.
  • Effective communication skills, both oral and written
  • Strong interpersonal skill as applied to interaction with a culturally diverse populations, college administrators, faculty, staff, students, and the public
  • Ability to work independently and as a member of a team in accomplishing tasks.
  • Ability to analyze situations, develop solutions, and make independent decisions based on established guidelines.
  • Skill in processing a variety of financial and non-financial transactions, verify accuracy, match against documentation, code to proper account, prepare necessary forms or reports, post transactions, and verify and retrieve information as needed.
