Job Description:

Independently manage assigned tasks and projects as assigned. This may include but not limited to:

- Assist with written communication that may include presentations and proposals.

-Coordinate all faculty recruitment visits at both Gainesville and the Department’s regional clinical programs. This includes; creating itineraries, scheduling interviews, making travel arrangements and coordinating reimbursements.

-Coordinate all department annual and quarterly events throughout the year, including organizing university observed events such as nurse’s week and physician assistant’s week.

-Participate in Department-led committees such as the Diversity, Inclusion, Equity and Access, and the UF Neurosurgery Positive Culture Committee.

- Maintain and updates Department’s website, faculty bios, and assures the Department’s digital presence is accurate. Works directly with UF Marketing and Business Development to meet those objectives.

-Assist with travel arrangements and facilitates travel reimbursement.

- Coordination of all clinical and research faculty leave requests and oversight of the faculty leave calendar.

- May be requested to provide support with gathering data and information for adhoc reports or information for the Chair and Vice Chair of the Department.

Organization of department meetings, committees and events. Duties will include, but will not be limited to:

-Securing room and venue reservations for meetings at the professional building and Neuromedicine hospital.

- Sending and tracking invitations.

-Procuring food and beverages, when necessary and submitting receipts for vendor payment.

-Help with room set up and breakdown, when appropriate.

-Equipment needs (conference calls, audio-visual equipment, projector, etc).

Administratively Support Faculty Affairs, Promotion and Tenure Packets, Faculty Evaluations, and other special projects as assigned by the Vice Chair or Department leadership. Duties will include, but will not be limited to:

-Assist with office-related tasks as needed such as answering inbound phone calls, handling sensitive patient-related issues, and picking up and sorting incoming mail and delivered packages.

- Coordinate the internal department reviewed each year for the faculty promotion and tenure packets, while communicating with UF Faculty Affairs office on specific P&T guidelines, and informing faculty on key deadlines and milestones.

Expected Salary:

$51,400-$58,100

Minimum Requirements:

Bachelor's degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

KNOWLEDGE
- Knowledge of policies, procedures, and practices of department, College of Medicine, university, specific committees, and societies

ABILITIES
- Ability to work independently
- Ability to set own priorities
- Ability to communicate effectively verbally and in writing
- Coordinating Annual Promotion and Tenure Packets for Clinical and Research faculty.
Coordinate annual faculty evaluation templates which include gathering content from faculty that describes annual accomplishments within each mission: clinical care, research, teaching, and service.
