Job Summary

The Administrative Coordinator performs senior level administrative duties in support of the executives and staff within the Office of the President. The Coordinator partners with executive staff, carrying out a wide range of duties, which includes a focus on communications, to ensure the smooth, efficient and professional operation of the office at all times.

The primary duties of the Coordinator include interacting with individuals entering and contacting the office, creating and editing written content for various purposes, providing support for meetings and events, assisting with managing calendars and fielding phone calls and emails.

Responsibilities •

Assists the Executive Assistant with general office support for the Office of the President which includes the President and Chief of Staff ensuring effective organizational processes in day to day operations; participates in projects, schedules requested meetings and events; monitors executive calendars for adjustments; provides coverage in the Executive Assistant’s absence.

Reviews, proofreads and edits materials initiated in the Office of the President including but not limited to publications, speeches, and various correspondences; drafts letters of recommendations, nominations, thank you letters, notes and memos; creates and modifies presentations

Documents and routes concerns received in person, via phone or email to the appropriate area for resolution; follows up and prepares proper documentation; monitors the executive email and appropriately routes topics for review and response

Engages in customer service with faculty, staff, students and external constituents utilizing skills in communication, problem solving, tact and diplomacy

Provides support in the coordination of meetings and activities for the Office of the President; takes minutes to prepare reports, distributes meeting materials, and calls for agenda items

Handles and maintains sensitive and/or confidential material and information consistent with professional standards and policies

Prepares documents and mail for the Executive Assistant and/or President's review and signature

Assists in monitoring the office budget, expense tracking and supply inventories

Performs other duties as assigned

Required Qualifications
  • Associate degree and three or more years of senior level administrative/communication experience, or an equivalent combination of education and experience
Preferred Qualifications
  • Bachelor's degree in English, Communications or a related field and five or more years of senior level administrative experience, or an equivalent combination of education and experience
Knowledge, Skills, & Abilities
  • Ability to multitask, anticipate and prioritize actions
  • Ability to have a strong sense of responsibility
  • Ability to work cooperatively as a member of a team
  • Ability to exhibit professionalism, initiative and independence
  • Ability to manage complex calendars and appointment scheduling, including handling last minute schedule conflicts
  • Ability to handle, direct and screen telephone inquiries and meeting requests, determining which take priority
  • Ability to train and supervise student assistants
  • Skills in organizational and time management
  • Skills in verbal and written communications
  • Skills and proficiency with Microsoft applications

Position requires local travel. Ability to lift and carry files and materials. Ability to move from one office to another office on campus. Adequate vision, hearing and manual dexterity to interact with people in person, on the phone and in writing. Job takes place in normal environmental conditions.
