Training Coordinator, Reliability and Maintainability Center (RMC) – College of Engineering 

Market Range 08

Expected Hiring Range: $41,000 - $46,000 Dependent upon Experience and Qualifications

This position is responsible for the planning and execution of the RMC’s Professional Development and Certification programs.  The Training Coordinator assess the training needs of members/potential customers and works with the Director and Assistant Director to build the annual schedule, plan and execute training events, and manage training/certification records.  In addition, the Training Coordinator assists with other RMC events as needed.  Training courses may be held in-person or virtually (on Zoom, WebEx, etc.).  In-person courses may be held in RMC facilities, on campus, at customer sites, or in strategic locations across the country.  Courses are based on demand and many courses are offered 2 or more times a year (35+ classes anticipated a year).  Position is responsible for completion of university and vendor contracts (room, venue, meals); record keeping of contracts, registrations, CEU course approvals and attendee requests; certificates of completion, and any other documentation regarding training and events.  In addition, the position is responsible for tracking and coordinating progress of individuals through the Reliability & Maintainability Implementation Certification (RMIC®) Program.

This position is an ambassador for the RMC.  Position is responsible for making and maintaining relationships with training partners, instructors, venue contacts and course attendees.  Good communication skills and customer service are required to build relationships and encourage participation with the RMC.



Qualifications
Training/Event Planning and Execution to include:

  • Plan and execute training classes (35+ a year)
  • Development of potential client/attendee list
  • Completion of university and vendor contracts
  • Determine printing and/or shipping needs for class materials
  • Purchasing class promotion items and giveaways
  • Overseeing registration
  • Coordinate with instructors and attendees
  • Serves as host during on-site courses, opening the classroom for the instructor(s), greeting and registering attendees, and following up as needed for the duration of the event
  • Coordinates and stocks snacks, meals and beverages
  • Schedule and prepare for virtual courses and act as Zoom/WebEx host as needed
  • Coordinates off-site courses and ships materials
  • Cost summary and course evaluations are required tasks after each event and will be used to make decision on course frequency, etc.
Training Program Coordination to include:

  • Review performance of previous year’s classes the work with RMC Director and Assistant Direct to set training schedule for next 18 months
  • Coordinate with training partners and instructors to finalize schedule
  • Draft course contracts
  • Plan and build client lists to which to market specific classes
  • Work with Communication and Marketing Specialist to develop a marketing strategy for each course
  • Promote RMIC® program and upcoming courses to all class attendees
  • Coordinate with training partners to ensure appropriate certification courses are offered
  • Make course recommendations to customers and work with RMIC® candidates to determine which classes best fit their needs
  • Be proactive in looking for opportunities to sell additional training, private classes, or recommend other services (assessments, coaching, etc.)
Administrative responsibilities to include:

  • Maintain and manage training and RMIC® files in training management system
  • Track student progress through certification program and make recommendations for additional courses
  • Create training invoices, process payments, and manage course rosters
  • Provide weekly course number updates to staff
  • Ensure course materials are printed/ordered and name-tags/tents and certificates are made
  • Pack course materials and ship as needed
  • File CEU course approvals and request card
  • Create RMIC® plaques and P&S awards for candidates that finish either RMIC® or iBL programs and ship as needed
Required Qualifications/Experience

  • High School Diploma
  • 3 Years experience in an office environment
  • Program Management and/or Event Planning experience are a must
  • Microsoft Office Suite (especially Word, Excel and PowerPoint)
  • Strong organizational and planning skills
  • Ability to self-motivate
  • Excellent customer service and interaction skills
  • Ability to multi-task; manage multiple, varied projects; and meet deadlines set both by supervisor and self
  • Ability to be professional in attitude and appearance
  • Attention to detail is an imperative skill
  • Must have ability to carry reasonably sized boxes of course materials & be able to set up classroom (move tables, chairs, etc.)
  • The training schedule requires that this position have the flexibility to work odd hours when a class is in session, with early mornings and on occasion set-up may be needed on a Sunday afternoon.
Preferred Qualifications/Experience

  • Bachelor’s Degree
  • University of Tennessee experience is desired due to the amount of interaction with other UT offices and UT policies.
  • Experience using CRM and invoicing programs is a plus
  • Some marketing or sales experience is preferred
  • Ability to speak to large groups of people
  • Project management skills
  • Knowledge of CRM programs and/or sales skills
