Job Description:


SUNY Empire State College, Office of the President, is currently seeking a Management Confidential (MC) Administrative Assistant, supporting the overall operations of the Office of the President, including high level compliance, budget, internal communications, detailed meeting scheduling and project management functions. In addition, the Administrative Assistant will oversee the President's travel, both domestic and internationally. The requirements of this position call for a support staff to use the highest discretion in handling of sensitive and confidential information and maintaining the highest level of accuracy and tactfulness expected of the President's Office.


The Administrative Assistant will:


  • Provide primary confidential administrative support to the chief of staff and her related duties.
  • Prepare sensitive and confidential meeting materials for the President.
  • Manage travel logistics and travel reconciliation for the President and Chief of Staff, and other office staff as needed.
  • Accurately maintain, manage and process all budget accounts and related documents for the Office of the President in a timely and accurate fashion.
  • Interact with external constituents, such as legislators, SUNY administration, campus presidents, College Council and Foundation Board Members.
  • Assist with confidential HR functions and onboarding of new employees, including technology requests.
  • Maintain Office of the President web content and multiple email distribution lists.
  • Attend Cabinet meetings, record minutes, maintain Cabinet SharePoint site.
  • Process reimbursement paperwork for all payments that come to the Office of the President from Vice Presidents and others.
  • Provide seamless backup to the Executive Assistant to the President and act as support to the President in her absence.
  • Continually maintain office supply inventory and ordering of supplies, books, magazines and e-subscriptions as needed.
  • Process appropriate paperwork and maintain the budget for the Professional, Administrative and Support Staff Development funding.
  • Provide administrative and logistical support for Presidential meetings.
  • Provide support to the All College committee including but not limited to, transportation, travel and processing of all travel vouchers.


Requirements:


Required Qualifications:


  • High School Diploma.
  • A minimum of three years of experience supporting senior level administrators.
  • Working knowledge of Microsoft Office.
  • Demonstrated proficiency in oral and written communication skills.

Preferred Qualifications:


  • Bachelor or Associate's Degree.

Special Information:


  • Nights, weekends and early morning hours are occasionally required.
  • Position is located in Saratoga Springs, New York.


Additional Information:


Rank/Salary: Management Confidential (M/C 06) / $65,000.
