Florida Atlantic University is seeking an Advancement Assistant, Boca Raton, FL.
Summary of Responsibility Include:
Support Development Officers (DOs)
- Manage DOs’ calendars and schedule meetings.
- Arrange conference calls, oversee IT for meetings.
- Book travel arrangements.
- Proactively prepare DOs for upcoming meetings, deadlines, projects.
- Prepare expense reimbursement requests.
- Prepare travel authorizations and reimbursements.
- Run queries and reports on Raiser’s Edge.
- Assist in the preparation of regularly scheduled reports.
- Carry out administrative duties such as copying, binding, scanning, etc.
Institutional Advancement Office Support
- Assist with activities of the AVP for Communications.
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Cover the reception desk when receptionist is away.
- Assist with activities of the FAU Foundation Board of Directors when needed.
- Develop and update administrative systems to make them more efficient.
