Primary Purpose of Position:

This position is to administer and coordinate business and fiscal functions for the Office of Financial Aid. Knowledge of policies, procedures, information systems, and administrative functions is essential. Budget management, personnel administration, travel, drafting correspondence, and providing administrative support to the Director of Financial Aid are key functions in this position. This position also provides general support to the Department in the areas of purchasing, mail distribution, and supervision of student workers.

Minimum Education/Experience:

Required Minimum Qualifications:

Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

University Preferred Qualifications:

Four year degree in a related business function and one year of experience in accounts reconciliation, business processing, office management, or human resources; or an equivalent combination of training and experience.

Essential Job Duties:

  • Provides administrative support to the Director of Financial Aid in the areas of budgeting, personnel, travel, scheduling, and correspondence.
  • Provides general support to the Office of Financial aid, in the areas of purchasing, document scanning, mail distribution, and supervision of student workers.
  • Prepares monthly dashboard financial reports for the EM Division Business Officer, and monitors internal control for P card.
  • Assists with the preparation of annual reports.
  • Explains and interprets programs, policies, and procedures.
  • Advises others in most matters related to program operations.
  • Communicates factual information, general guidelines, and standard procedures.

Other Work Responsibilities:

  • Customer service, budget management, summarizing and reconciling information or financial data, and personnel administration are key functions in this position.
  • Direct responsibility for handling sensitive and or confidential information, University property, disbursements, or receipts, or extensive authority for committing the financial resources of the University.
  • Communicates regularly with facilities, travel services, business affairs, and other offices.
  • Clearly articulates factual information and program operations.

Departmental Preferred Experience, Skills, Training/Education:

  • Bachelor’s degree in Business Administration.
  • Higher education experience, preferably working in a Financial Aid Office.
  • Knowledge of Federal regulations regarding the awarding and disbursement of Title IV aid is a plus.
  • Experience utilizing the various University systems, such as Banner, e-procurement processes, Google products.
  • Ability to reconcile, analyze, forecast, and present monthly budget reports.
  • General knowledge of accounting principles and Human Resource/personnel processes.
  • High level of organizational skills.
  • Excellent customer service and interpersonal skills.
  • Strong verbal and written communication skills, resourcefulness, and the ability to problem-solve.
