Primary Purpose of Position:

This position will be responsible for maintaining, updating and reporting UNC Charlotte space data, as well as update and maintain University space data in ARCHIBUS. The incumbent will be required to work closely with Facility Information Services (FIS), Institutional Research (IR), and individual departments to ensure space data is accurate and up to date. They will communicate with department space managers to confirm changes to space occupancy and usage. Space audits will need to be performed to include updating room categories, subcategories, stations and departments. Other responsibilities will include reviewing, applying and confirming FICM (Facilities Inventory and Classification Manual) room use codes, UNC-GA program codes and tracking departmental allocations and occupancy information. They will also oversee student workers performing space audits and data entry. The incumbent in this position will review and update data for coordination with the UNC General Administration space report, generate reports using data in ARCHIBUS and format data in MS Excel spreadsheets to create other reports as needed. AutoCad will be used to update floor plans and MS PowerPoint to communicate information.

Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Essential Job Duties:

The Space Data Manager performs under the direction of the Director of Space Management and Utilization. Job duties include, but are not limited to:

1. Visit all campus buildings to survey, collect and verify facility data including information concerning square footage, occupancy information, department, and room number verification, etc.
2. Update existing space data and transfer audit information into the University database (Archibus), and ensure space data is accurate and up to date.
3. Maintain communications with department space managers/campus stakeholders to confirm changes to space and occupancy.
4. Provide excellent customer service to stakeholders while both collecting data and relaying audit results.
5. Generate detailed reports confirming campus-wide space usage used for required reporting to the University departments, UNC System Administration, and State and Federal agencies.
6. Create presentations and reports from the space data database for the Director of Space Management as required

Other Work Responsibilities:

1. Work directly with campus-wide department contacts to coordinate and conduct facility audits.
2. Provide and maintain effective communication skills with campus stakeholders to supply information concerning space usage and data.
3. Ensure accuracy while collecting and transferring data information into the appropriate database(s).
4. Remain patient, calm, and understanding with customers if faced with adverse conditions that may arise on occasion.
5. Create detailed intermediate to advanced level reports in Excel used to direct and control data as necessary.
6. Conduct space audits that can occur multiple times a week at a variety of campus buildings within wide proximity of each other that will require constant mobility as necessary.
7. Work unsupervised; be reliable, responsible, efficient, and a self-starter.

Departmental Preferred Experience, Skills, Training/Education:

1. Graduation from a four-year college or university; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
2. Experience working with space data software (ARCHIBUS preferred).
3. Proficient in the use of Microsoft Excel and PowerPoint software, and Google applications.
4. Familiarity with FICM (Facilities Inventory and Classification Manual) room use codes.
5. Ability to effectively communicate the English language (reading, writing, interpretation, and comprehension).
6. Effective skills in verbal, written, and interpersonal communications.
7. Ability to effectively work/interact with persons from different backgrounds and cultures.
8. Ability to foster and create an atmosphere of teamwork with co-workers, visitors, building occupants, and the entire campus community.
9. Valid driver’s license required. The Space Data Manager operates assigned vehicles on and/or off-campus and is required to possess, maintain, or obtain a valid driver’s license upon appointment to the position.
