Primary Purpose of Position:

This position is the Executive Assistant to the Vice Chancellor and President of the Foundation. The position speaks with delegated authority for the Vice chancellor and is tasked with managing the flow of divisional projects for the Vice Chancellor. This position has authority to adjust meetings as they see necessary to make sure the VC calendar is kept up to date. Complete understanding of the strategic plan and goals for the division and the university. Assists the VC with projects, presentations and events. Manages the Foundation Board meeting quarterly. Interacts with constituents, donors, Foundation board members, University board members, GA representatives and officers, Chancellor, Vice Chancellors and other administrators on behalf of the Vice Chancellor. Manages the Vice Chancellor’s department budget for travel, purchasing, p-cards, etc.

Minimum Education/Experience:

Required Minimum Qualifications:

Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and one year of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience.

University Preferred Qualifications:

Graduation from high school and demonstrated knowledge, skills and abilities gained through six years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and four years of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field and three years of progressively responsible administrative/office management experience; or an equivalent combination of training and experience.

Essential Job Duties:

  • Anticipates Vice Chancellor’s needs to initiate and proofread written communications for review. Independently answers inquiries.
  • Writes correspondence and proofreads letters and documents for the Vice Chancellor.
  • Uses knowledge and judgement of the Vice Chancellor to prevent scheduling conflicts and anticipates VC’s needs by resolving conflicts that occur on the schedule.
  • Plans and organizes high level Foundation Board meetings-quarterly, Executive retreats-twice a year, annual staff event, donor events for Vice Chancellor.
  • Makes purchases for the Vice Chancellor, manages p-card purchases, processes reimbursements, completes travel documentation, mileage and Foundation car repairs.
  • Works with Foundation expenses that are incurred by the President of the Foundation and memberships, Fringe reports, Foundation car lease for Vice Chancellor.

Other Work Responsibilities:

  • Maintain the BoardEffect online portal for the Foundation Board; ensure members have access to the site and provide support as needed.

Departmental Preferred Experience, Skills, Training/Education:

  • 5+ years of experience as an executive assistant.
  • Five plus years experience working as an executive assistant with experience interacting with upper level executives.
  • Experience supporting senior level administrators and interacting with upper level executives.
  • Experience working with volunteer boards.
  • Experience with departmental budgets, e-procurement, processing reimbursements, p-card management, travel arrangements.
  • Experience with Google calendar management, Google e-mail, and Microsoft office and preparing PowerPoint presentations.
  • Experience reconciling departmental budgets.
  • Experience with E-procurement including reimbursement processing and p-card management.
  • Knowledge of University and state processes and procedures.
  • Experience with mentoring administrative support staff.
  • Ability to multi-task and excellent organizational skills.
  • Professional written/oral communication skills, proofreading skills and experience taking meeting minutes.
  • Experience with volunteer boards and events; Executive Board organization/meeting set-up
