Your opportunity:
Reporting directly to the Director, Equity, Diversity & Inclusion at Rotman, the EDI Coordinator will provide a high level of confidential administrative support to the Office and Director in the development, implementation and administration of Rotman’s equity, diversity, and inclusion programming to meet the needs of its various stakeholders (i.e., students, staff and faculty).
As the EDI Coordinator, you will participate in the development and delivery of education and awareness programs for students, staff and faculty pertaining to equity, diversity, inclusion, anti-racism, anti-oppression, discrimination, and harassment. Under the direction of the Director,
- Supports the Director, EDIO and EDI-Project Advisor in all administrative duties pertaining to the office (e.g. Director scheduling, booking appointments for students, staff and faculty who have may a human rights concern, copies files, couriers documents, inputs complaints and consultations into data base etc.).
- Assesses requests and issues sent to the EDI Office to determine appropriate action. Provides students, staff, and faculty with information on the services available within the EDIO. Responds to the issue directly when appropriate or refers the issue to the Director and/or EDI-Project Advisor or refers to another service within or externally to the University. Assesses the degree of seriousness and triages service delivery to the most appropriate person or service.
- Supports the EDI - Project Advisor in the administration and development of a full range of education and awareness sessions/events. Receives and processes training requests, registrations, and evaluations; creates a separate “event” for each training session on the website. Coordinates the logistic requirements for training sessions, to include room bookings, catering, room set-up, and equipment required.
- Performs general administrative tasks, such as word processing of memos and other written materials, research, preparing presentation materials, special project work, editing and proofreading. Establishes timelines for these activities, and coordinates contribution from involved parties.
- Manages registrations through any of the online, email, phone or fax systems. Liaises with attendees and addresses their issues regarding transfer of registrations, cancellations, out of order, incomplete and unsatisfactory attendance issues, etc. Liaises with trainers to ensure actual attendance is confirmed and updated in the online registration details.
- Coordinates information with team members on website content, drafts and edits articles and social media campaigns as needed. Ensures that all information is current, accessible, and properly formatted.
- Drafts promotional materials for Education and Awareness programs, Inclusive Leadership, Indigenous education series, and related workshop sessions and events, to include posters, articles for social media, etc.
- Prepares and distributes internal and external communication and correspondence, selecting the most appropriate method of presentation and delivery given the content and intended recipients (e.g., e-mail, telephone, memo, letter, report, etc.). Assists the Director, EDI in drafting speeches and developing presentations, as needed.
- Manages training materials – manuals, training calendar, training program; liaises with the printer on the production of the materials.
- Recruits, assigns and supervises all student, intern and/or volunteer activities in relation to training and event presentations. Assists in workshop delivery, where needed as a backup to the EDI – Project Advisor

You will brief the Director on emerging issues as they are identified, analyze, and revise documents and policy drafts, research special projects, compile data and statistics on emerging trends and identify and implement opportunities for improvements and efficiencies in office procedures. You will work in a complex environment that requires a high degree of sensitivity, responsiveness, and a need to maintain absolute confidentiality. You may also be required to represent the EDIO and the Dean, Rotman on relevant committees inside and outside the University community, and provide assistance, information, outreach, resources and referrals.
Essential Qualifications:
I. EDUCATION: University degree in education. social sciences, behavioural science, humanities, sociology, social work, or a related field or an equivalent combination of education and experience. 3-5 years providing administrative support in a unionized environment organizing, managing and dealing with day-to-day office procedures. II. EXPERIENCE: Minimum three to five years related experience. Lived experience and/or a thorough understanding of equity, diversity, inclusion, social justice, anti-racism, anti-oppression disability/accessibility, Indigenous peoples, sexual violence and discrimination and harassment prevention frameworks. Experience in and understanding of complex issues related to social justice, equity, diversity and inclusion as they relate to the student experience and the workplace strongly preferred. Demonstrated experience researching and developing, popular education workshops & programs, public education materials, promotional materials; and/or community initiatives related to equity, diversity and inclusion; Demonstrated excellent administrative skills and coordination skills. Demonstrated knowledge and understanding of equity, diversity, and inclusion including discrimination faced by marginalized and/or underrepresented communities. Demonstrated experience in managing and reconciling budgets and expense reporting. Demonstrated experience with successful large and small event planning. Relevant experience working/volunteering in a student society or campus organization an asset. Experience marketing programs in a higher education institution. SKILLS: Experience and computer proficiency in a PC environment, including standard office computer applications (e.g. Word, Excel, PowerPoint, email, etc.); Experience in graphic design software (e.g. Illustrator, Photoshop, In Design) and web development and maintenance. III. OTHER:
Professional writing and/or editing skills. Superior written and oral communication skills. Excellent interpersonal, facilitation, and leadership skills. Ability to develop and deliver effective presentations. Demonstrated ability to communicate and work effectively with intersectional constituencies and communities in a team environment. Demonstrated abilities to multi-task, troubleshoot and problem solve. Demonstrated research and analytical skills. Excellent organizational and programming skills. Strong social media skills. Knowledge and expertise in differing modes of learning delivery, including webinars and online learning delivery. Ability to be innovative and work independently. Demonstrated ability to relate to students, staff, and faculty that builds trust and confidence. Ability to work under pressure and to meet deadlines. Awareness of and sensitivity to issues of equity, diversity, inclusion, social justice, anti-racism, and anti-oppression. Ability to maintain strict standards of confidentiality. Demonstrated ability to deal with sensitive issues with tact, diplomacy and compassion. Awareness of student environments, campus systems and organizations, and the University’s policies and procedures related to student life and activities, strongly preferred.
