Job Description

The College of Education is seeking a full-time, benefits eligible Financial Oversight Analyst position to serve the Department of STEM Education (DSE) and The Center for Science Teaching and Learning (CSTL), which is housed within the DSE. The DSE is part of the College of Education and prepares and supports early career science and mathematics teachers and leaders through undergraduate and graduate degree programs. The CSTL partners with faculty, educators, and the community to provide professional learning and development, collaborative grant development, community programs, educational research, and evaluation and assessment that contribute to high quality STEM education.

The position will involve a variety of financial tasks and require being a liaison for the DSE and CSTL with NAU's service teams and with financial management within the College of Education. Weekly tasks will depend on the demands of various externally funded projects as well as academic financial needs. The position will require management and analysis of the unit's operational data, understanding of university finances via the use of university tools to provide accurate and timely budget information on department goals, and compliance with university operations concerning budgetary goals and expectations.

Budget Oversight and Management
  • Monitor all financials for compliance with policy.
  • Manage state, local, grant and foundation accounts.
  • Manage and monitor expenses and propose budget modifications as necessary.
  • Provide monthly budget summaries, analysis, and recommendations.
  • Conduct budget forecasting.
  • Provide grant and local budget management including management of participant allowances, consultants, sub awards, and indirect costs.
  • Develop and edit spreadsheets, assist with edits, serve as liaison with Office of Sponsored projects.
  • Provide monthly budget reporting.
  • Create and modify internal financial policies, procedures, and forms.
  • Prepare requests for IDTs.

Service Team Liaison
  • Serve as liaison for all finance team transactions.
  • Review and approve documents for funding compliance.

Position Management
  • Collaborate with CSTL Director on allocating appropriate effort to soft-funded employees, temporary employees, and summer faculty.
  • Create position management funding forms using information from employee workplans to allocate funding to match effort. Troubleshoot issues, edit workplans and grant budget worksheets as needed.
  • Review payroll for accuracy, resolve issues.

PeopleSoft Financials
  • Manage PeopleSoft for the DSE and CSTL.
  • Provide oversight and management of p-card expenses.
  • Initiate all ePARs, attach appropriate documents, monitor for completion.
  • Navigate purchase approval process with Contracts and Purchasing, ITS, and Disability Resources.

External Funding Management
  • Review status of funds, provide budget projections, SPAR assistance, resolve issues, check for adherence to NAU policy, provide advice for set up, managing, and administering potential new funding.
  • Review, process, and monitor invoices and bills.

Supervision and Training
  • Supervise financial student employees.
  • Supervise any future additional financial staff.
  • Time and Labor administrator, back up approver for par time temps and student employees, proxy approver for Chair and Director on their direct reports, administer Supervisor Security to assign approvers, resolve payroll issues.
  • Assist with new hires.

  • Assist with all CSTL internal and external audits.
  • Monitor department expenditures including copying, etc.
  • Represent Department of STEM Education, CSTL, and/or College of Education at meetings as needed.

Minimum Qualifications

  • Bachelor's degree in accounting, finance, or related field.
  • 3 - 5 years of accounting or finance work experience.
  • A combination of related education, experience and training may be used as an equivalent to the above Minimum Requirements.

Preferred Qualifications

  • Master's degree in business finance, accounting, or related field.
  • Experience working in higher education or non-profit finance/accounting.
  • Pivot table experience.

Knowledge, Skills, & Abilities

  • Advanced knowledge of financial oversight and operations tools, procedures, processes, policies, and concepts such as payroll management systems, budget analysis projects, expense tracking, and trend analysis.
  • Knowledge of financial reporting in higher education and university budgeting practices.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Skill in financial modeling.
  • Excellent verbal and written communication skills.
  • Preferred skills and knowledge of NAU's Peoplesoft and Enterprise financial systems.
  • Prepares detailed reports on a timely basis.
  • Analyzes complex situations and anticipates issues.
  • Balances competing priorities and requests.
  • Demonstrates problem solving, organizational, and analytical capabilities.
  • Listens actively.
  • Promotes a diverse, inclusive environment.
  • Impeccable attention to detail.
  • Experience in creating and managing budgets.
  • Ability to work independently with direction/collaboration from chair, director and project leads.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. If you are applying for a job that requires a CDL, you will be required to register with the Federal Motor Carrier Safety Administration Drug & Alcohol Clearinghouse and adhere to the clearinghouse requirements. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary range begins at $54,779. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.


This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. Classified Staff employees are in a probationary status for their first six months at NAU. NAU is a tobacco and smoke-free campus. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
