Job Description:

Fiscal/Budgetary

  • Process vouchers, invoices, ID encumbrances, expense refunds, etc.
  • Process travel authorizations and expense reports
  • Order laboratory supplies and equipment (purchase card and on-line requisitions)
  • Coordinate seminar and scientific meetings held by the CES; includes room reservations, registrations, preparing materials for handouts, accommodations, and travel arrangements
  • Manage foundation accounts such as UFRF Professorship Research Awards
  • Manage and maintain APK material and supply and equipment fee accounts
  • Maintain up-to-date records and provide reports regularly

Administrative Support

  • Serve as back-up to Office Manager with functions including: faculty searches; Managing overhead and foundation accounts; preparing and executing paperwork and functions for hiring
  • Serve as property management back-up coordinator: maintain an accurate and up-to-date record of attractive items
  • Assist with: answering phones and greeting customers: distribution of incoming/outgoing mail; poster printing and production; scheduling of conference rooms; maintaining office supplies and monitor use to ensure accountability
  • Assist in the distribution of parking passes and ensure compliance

Human Resources and Payroll Duties

  • Assist with Payroll duties by ensuring that payroll reports are completed in a timely manner
  • Assist with special requests as directed by Office Manager and Department Chair; Other duties as assigned

Minimum Requirements:

High school diploma or equivalent and four years of relevant experience.

Preferred Qualifications:
  • Prior UF PCard experience and/or training
  • Intermediate knowledge of PeopleSoft
  • Proficiency in Word, Excel, PowerPoint, Outlook E-mail and Internet
  • Prior Customer Service experience in administrative/academic office
  • Demonstrated, outstanding ability to work under pressure in a busy office with frequent interruptions, changing priorities and short deadlines
  • Ability to plan, organize and coordinate work assignments
  • Ability to establish and maintain effective working relationships with others
  • Ability to function under stressful circumstances always maintaining respectful and supportive interactions
  • Ability to communicate effectively both verbally and in writing
  • Ability to plan, organize and coordinate work assignments
  • Ability to work independently
  • Strong interpersonal and telephone skills
