Position Summary

This temporary role plays a critical function supporting the unique one-time needs of the College district as detailed in the American Rescue Plan Act of 2021- Outreach to Financial Aid Applicants. Job functions will include collaboration with other college staff to actively reach out to students using multiple modes of communication. This position is primarily located on the CCC Lone Tree campus and requires travel to Page, AZ and working at the Fourth Street Campus. It also involves receipt of confidential student information. This position may involve a heavy workload at peak times and requires occasional non-standard work hours. This is a temporary position working 40 hours per week and will end June 30, 2023.

Essential Duties and Responsibilities

  • Performs direct outreach and customer service, on behalf of CCC, to students and parents regarding the opportunity for adjustments to financial aid awards via Professional Judgment due to unemployment or other circumstances. Direct outreach will include, but is not limited to: telephone and Zoom communication with students and parents, emails to students and parents who receive financial aid, direct mailings to students and parents who receive financial aid, hosting webinars with students and parents, and in-person interviews, meetings and advising.
  • Evaluates, certifies, reviews and verifies documentation to determine financial aid eligibility for appeal.
  • Advises students, parents, visitors and CCC employees of the financial aid process, appeal process, professional judgement and other policies and procedures by phone, email, video conferencing or in person in a positive and professional manner. This includes responding to incoming requests and initiating outgoing communications via phone, letter, email, video conferencing or other electronic method. Provides limited educational advisement and refers students to college employees in Academic Advisement, Registration and Enrollment Services and other support offices as necessary.
  • Reviews and verifies student, spouse and parent documentation submitted to ensure completeness, compliance and authenticity. Documentation submitted may be of a sensitive or confidential nature requiring compliance with all appropriate information protection procedures and policies. Logs documentation into the Banner computer system and scans or imports images into the document imaging system.
  • Manages and responds to the financial aid general email account and voicemails.
  • Cross-trains within Financial Aid, other offices at the College and financial aid officers at other institutions and promotes the Professional Judgement and Special Condition appeals. This may include occasional travel to regional trainings and training webinars.
  • Presents various financial aid topics, on behalf of CCC, to groups of parents and students at all CCC Campuses and around the Coconino County to explain appeal processes.
  • Understands and abides by the Office of Student Financial Aid code of conduct and ethical guidelines.
  • Uses standard office equipment such as copier, telephone, fax machine, personal computer, document scanner, printer, etc.
  • Acts in a positive and professional manner at all times.
  • Performs other duties as assigned.
  • Knowledge, Skills and Abilities

    Knowledge of automated processing systems. Knowledge of government rules, regulations, guidelines, and procedures related to financial aid. Skill in using computer software, such as Microsoft Word and Excel. Ability to work in a multicultural diverse environment and successfully interact with others in a supportive, collaborative and positive manner. Ability to multi-task.

    Minimum Qualifications

    Associate's Degree in Business Administration or related field and one-year related experience; or three years of related experience; or any equivalent combination of education and experience sufficient to successfully perform the essential duties of the job and/or as approved by the Human Resources department.

    Preferred

    Experience with complex information systems such as the Ellucian Banner products.
