Job Description:


The Vice President and Chief Officer of Diversity, Equity, and Inclusion (CODEI) seeks an individual with a high level of initiative, exceptional administrative, organizational, and planning skills, and outstanding communication skills to assist with managing the logistics the daily functions of the office and Fireside Lounge. This is a highly visible role and this individual will have constant interaction with all levels of the organization. The ideal candidate will be able to manage multiple tasks and projects with competing priorities and deadlines. This position provides comprehensive executive support to the Office of Diversity and Inclusion (ODI) and requires an ability to adapt to a dynamic and fast paced environment. The position requires advanced administrative and interpersonal skills needed to deal with diverse, complex, and confidential situations. The Office Assistant will be the first point of contact for the office and will manage office space, the CODEI's calendar, answer phones, and greet and direct visitors accordingly.



Major Responsibilities:



  • Manage daily operations and functioning of the Office of Diversity and Inclusion, including but
  • not limited to office space, Fireside Lounge, supply needs, and maintaining the office website.
  • Stay current on diversity and inclusion related events and news to maintain a current webpage and assist with providing content and ideas for the ODI newsletter.
  • Maintain budget operations and develop monthly budget reports and recommendations. Provide day to day support for departmental budget, including but not limited to, processing transactions, purchase orders, invoices, and reimbursements.
  • Develop appropriate administrative infrastructure for the department that supports our internal and external partners.
  • Strategically and proactively manage the CODEI's calendar and travel arrangements. This includes overseeing and vetting a high volume of meeting requests, understanding context and the bigger picture to make sound judgment with calendaring decisions, discerning priorities between conflicting meetings, and thoughtfully and independently navigating last minute schedule changes.
  • Overseeing all details (hotel, transportation, meeting/session coordination) for various internal and external offsite meetings and conferences
  • Provide support for the Diversity and Inclusion Certificate Program, MLK Day, Co-Funding Program, President's Diversity Advisory Council, etc. working with the appropriate campus partners ensuring that we meet all accessibility needs and any other matters to support the campus
  • Greet visitors for ODI and answer inquiries by phone and email
  • Coordinate and monitor special projects on behalf of ODI as assigned
  • Prior experience working with and contributing to a diverse workplace with the ability to interact effectively with a broad range of constituents on campus



Requirements:


  • BA in relevant field and 3-5+ years of administrative experience that includes responding to a variety of concerns and issues from various levels of an organization
  • Exceptional written, organizational, and communication skills and the ability to adapt to a dynamic and fast past environment
  • Experience with project and budget management and ability to generate reports
  • Demonstrated ability to be proactive, take initiative, and exercise good judgment
  • Skill, cultural competency, and sensitivity to interact with diverse constituencies of various backgrounds (ethnic, racial, social, cultural, economic, and educational, etc.) in order to interact with all members of the University community effectively
  • Demonstrated ability to prioritize assignments and independently organize work, anticipate problems/problem solve, and follow through in an accurate, timely manner
  • Ability to complete multiple projects under pressure of deadlines, working independently or in collaboration with others
  • Computer skills and knowledge appropriate to carry out duties of the position including but not limited to: word processing, spreadsheets, database record entry, calendaring, and websites with the ability to learn and utilize new systems and formats
  • Proven ability to exercise judgment and discernment and use sound judgment in responding the issues or concerns
  • Commitment to principles of fairness and respect. Ability to maintain neutrality in the face of resistance, indifference, and/or hostility
  • Ability to work occasional evenings and weekends
