Job Overview

The Project Management Coordinator, a self-directed team player, takes initiative, anticipates needs, ensures consistent high-quality products and materials and adapts to different situations. They are results-oriented and pro-active in providing administrative support for the Senior Associate Vice President for Budget, Financial Planning and Treasury Management.

They support the work of Budget, Financial Management and Treasury Management, and related work with the Office of the CFO including preparing Board of Director's materials, composing/ developing PowerPoint presentations and talking points, tracking/coordinating projects and managing scheduling and appointments for the SAVP.

They facilitate the flow of information between the SAVP and key organizational stakeholders, including direct reports, board members, banking partners and community representatives; and support the Office of the CFO AVPs with complex scheduling and light presentation support.

The Project Management Coordinator manages and implements projects and administrative duties in a team oriented environment

Work Interactions

Reporting to the Senior AVP of Budget, Financial Planning & Treasury Management, the Project Management Coordinator from time to time supports other projects within the Office of the CFO, including planning and management of complex projects requiring administrative support. As well, they interact closely with all direct reports of the CFO, including the Executive Coordinator for the COO, all levels of University leadership, counterparts in other offices, Board members and their representatives, and external colleagues.

Qualifications:
  • Bachelor's degree
  • At least 5 years practical experience working in an administrative /project coordination role
  • Experience working with senior leaders in a higher education setting
  • Experience managing multiple projects on multiple deadlines for several principals simultaneously
  • Experience in working with confidential information/ budgets/ contracts/organization structures/ HR-related issues.
  • Superior written and verbal communication skills
  • Outstanding organizational skills
  • Exceptional reliability and a strong work ethic
  • Advanced proficiency with MS Word, Excel and PowerPoint
  • Demonstrated experience coordinating with various departments on high-level presentations to senior/Board-level leaders
  • High level of discretion and professionalism in representing senior university administrators
  • Capacity to anticipate needs and to pre-emptively respond to them, and to work both independently and collaboratively with colleagues across the university
